About The Position

This role leads and coordinates workflow changes across all departments to align with the Epic electronic health record and practice management system. With a strong focus on training and change management, the position ensures staff are supported and proficient in Epic-related workflows. The role also requires ongoing monitoring of Epic updates and enhancements, translating changes into clear guidance, delivering training, and updating policies and procedures to ensure consistent, compliant, and effective system use across the organization.

Nice To Haves

  • Bachelor’s degree preferred, or equivalent experience.
  • Working knowledge of the Epic system strongly preferred.

Responsibilities

  • Complete Epic training to develop and maintain a strong working knowledge of the Epic system.
  • Design, develop, and deliver instructor-led and virtual training programs, including user guides and supporting materials.
  • Maintain and update training materials to reflect Epic upgrades, workflow changes, and organizational needs.
  • Provide ongoing support and guidance to staff to ensure consistent and effective use of Epic.
  • Continuously monitor Epic updates, releases, and enhancement documentation; translate impacts into clear guidance for staff and leadership.
  • Prepare concise summaries of system changes and partner with departments to implement workflow modifications.
  • Identify and drive process improvement opportunities that align operations with Epic system functionality.
  • Manage and standardize Epic SmartPhrases across the organization.
  • Ensure policies and procedures are updated in a timely manner to reflect Epic-related workflows and best practices.
  • Collaborates with Clinical Services to integrate medical standards and guidelines into the EHR, ensuring accurate reflection of the organization’s clinical practice while meeting quality assurance requirements.
  • Maintains affiliate’s EHR downtime forms.
  • Collaborate with Clinical Services, the Call Center, and Revenue Cycle to facilitate ongoing EHR training for all staff and disseminate information.
  • Serve as the primary point of contact for Epic-related issues, questions, and workflow challenges.
  • Coordinate user access and security roles in collaboration with internal IT and external partners (e.g., Better Health).
  • Triage and manage Epic-related tickets, including determining internal resolution vs. escalation.
  • Troubleshoot system errors, documentation issues, and access problems.
  • Oversee external vendor ticket resolution and serve as the primary liaison with Better Health.
