About The Position

The Clinical Care Coordinator is responsible for supervising assigned staff, coordinating patient care, managing schedules, and ensuring efficient center operations. This role involves direct patient interaction, staff management, inventory control, quality improvement initiatives, and administrative support. The position may also involve coordination for residency programs and patient assistance programs, ensuring compliance with all policies and protocols.

Requirements

  • Completion of a medical assistant program required.
  • Certified or Registered Medical Assistant (CMA or RMA) required.
  • A minimum of 3 years of experience in a medical setting is required.
  • Strong organizational and multitasking abilities.
  • Ability to make sound decisions, prioritize tasks, and handle complex situations.
  • Effective communication with diverse populations, including patients, staff, and providers.
  • Ability to maintain confidentiality and manage sensitive information.

Nice To Haves

  • Associate's degree in healthcare preferred.
  • Previous supervisory experience is preferred.

Responsibilities

  • Supervise assigned staff, including recruitment, training, evaluation, and performance management.
  • Perform duties of Clinical Assistants and/or Front Desk staff when necessary.
  • Coordinate care between patients and healthcare teams to ensure optimal workflow and care standards.
  • Assist with scheduling patient visits and provider appointments.
  • Oversee the management of patient flow and patient satisfaction.
  • Coordinate monthly staff schedules, ensuring adequate staffing.
  • Address unplanned staffing changes or schedule adjustments.
  • Foster a culture of inclusiveness through open and regular communication.
  • Maintain positive working relationships with department leaders.
  • Maintain inventory of medical supplies, vaccines, and stock medications.
  • Monitor expiration dates, rotate inventory, and place orders from vendors.
  • Ensure front desk and/or clinical staff follow proper procedures and provide excellent customer service.
  • Function as the Center Manager in the absence of the Center Manager/Nurse Manager.
  • Participate in the implementation of quality improvement initiatives and audits.
  • Participate in team-based care in the Patient Centered Medical Home (PCMH) and related Quality Improvement activities.
  • Monitor and participate in site tracking activities for labs, referrals, and tests.
  • Provide ongoing training on systems like TriNet, MCIR, vaccinations, and medications.
  • Assist in training personnel from other locations.
  • Perform clerical tasks such as correspondence, missed appointment notices, and staff meeting minutes.
  • Ensure proper maintenance of site office equipment.
  • Manage daily operations of the family practice residency program (if applicable).
  • Collaborate with the GLBHC Director of Medical Education and Central Michigan University personnel for residency clinic schedules and regulations (if applicable).
  • Manage patient assistance program applications (if applicable).
  • Ensure that medical records and charts are properly maintained.
  • Assist in the preparation and release of medical records.
  • Attend department meetings and support additional tasks as required.
  • Perform other duties as assigned.
