About The Position

The College of Health at Ball State University is seeking a Temporary Clinical Affiliation and Contract Manager to support the management of clinical affiliation agreements, memoranda of understanding (MOUs), and other partnership contracts that are essential to student field education, clinical placements, and community partnerships. This temporary, part-time position is expected to require approximately 10 hours per week and will provide critical operational support while the College conducts a search for a permanent director. The ideal candidate will be highly organized, detail-oriented, and skilled at coordinating complex administrative processes while working collaboratively with faculty, staff, students, and external partners.

Requirements

  • Bachelor's degree or equivalent combination of education and relevant experience.
  • Experience coordinating contracts, agreements, or complex administrative processes.
  • Excellent organizational, written, and interpersonal communication skills.

  • Experience in higher education, healthcare, or clinical education.
  • Experience managing affiliation agreements or contractual relationships.
  • Knowledge of university administrative processes and compliance requirements.

Responsibilities

  • Coordinate the development, renewal, routing, execution, and maintenance of affiliation agreements, MOUs, and related contracts.
  • Monitor contract expiration dates and proactively initiate renewals.
  • Maintain accurate electronic records of agreements and related documentation through the College’s contract management software
  • Serve as the primary point of contact for faculty, staff, and external agencies regarding agreement status.
  • Coordinate with University offices including Legal Counsel, Procurement, Risk Management, and People & Culture as appropriate.
  • Assist academic programs in ensuring agreements are fully executed prior to student placements.
  • Communicate regularly with clinical agencies, community partners, and preceptors regarding agreement requirements.
  • Track workflow and prepare status reports for College leadership.
  • Identify opportunities to improve efficiency and standardize contract management processes.
  • Maintain confidentiality of sensitive institutional and contractual information.
  • Perform other related duties as assigned.
