About The Position

Mittleman Eye Center (MEC) is seeking a reliable, well-organized individual with meticulous attention to detail to join our Clinic Team as a Clinical Administrator. This role involves working collaboratively with clinic supervisors and managers to ensure the smooth operation of both clinic and administrative functions. The Clinical Administrator will be responsible for tasks such as preparing schedules, approving timecards and PTOs, identifying training needs, and developing training plans for teams and new hires. This position will also work closely with the training supervisor to design, develop, manage, coordinate, and conduct all training projects, ensuring they are properly documented in Paycom and other required systems.

Requirements

  • Bachelor’s degree (preference in healthcare or management) with 2 years of experience in a busy medical field.
  • In lieu of a degree, specialized training or certifications with 3 years of experience in a busy environment.
  • Training, education or a related field with 4 years of experience in a busy environment will be considered.
  • Tech savvy.
  • Extensive knowledge of instructional design theory and implementation.
  • Adequate knowledge of learning management systems and web delivery tools.
  • Proven ability to complete full training cycle (assess needs, plan, develop, coordinate, monitor and evaluate).
  • Familiarity with traditional and modern job training methods and techniques.
  • Experience with e-learning platforms.
  • MS Office proficiency.
  • Advanced organizational skills with the ability to handle multiple assignments.
  • Experience working in a practice with over 40 employees is mandatory.

Responsibilities

  • Report to the CBO/CEO
  • Prepare schedule for the clinic ahead of time and ensure proper coverage.
  • Manage and approve PTOs timely and adjust clinic schedule as needed.
  • Approve timecard for the staff regularly and manage overtime for the department.
  • Monitor the team daily and make sure the clinic is running smoothly.
  • Ensure the team starts, goes to lunch and gets ready for the second shift on time.
  • Assess the clinic’s needs for staffing and inventory regularly.
  • Conduct weekly and monthly meetings and provide feedback as necessary.
  • Discuss and review month performance and provide timely feedback for improvement.
  • Work with the training supervisor to identify the needs for training in the clinic.
  • Identify slow days ahead of time for training and cross-training in collaboration with the training supervisor and other leaders.
  • Collaborate with other leaders to provide training and cross-training to the team.
  • Assess team members with potential to learn or do more in the department.
  • Assist training supervisor with preparation of weekly or monthly training and report.
  • Supporting and processing other work as assigned.
