About The Position

This position is remote and overnight, with hours typically falling between 8:00 PM and 8:00 AM. The role requires the individual to be local to the Camden, NJ area and available for a few weeks of in-person training. The Clinical Administrative Lead is a non-exempt position responsible for providing medical assistant care under the supervision of physicians, providers, and/or registered nurses in various ambulatory settings. Clinical direction, oversight, and competency review are provided by medical providers and the ambulatory professional development team in coordination with office management. The role involves greeting patients, providing patient support, and managing administrative duties such as rooming functionality, documentation (vitals, history, medications), EMR tasks, telephone communication, and MyChart messaging. Additional responsibilities include obtaining reports and results, completing insurance and disability forms, precertification, order entry, and potentially assisting with bump lists and wait lists. The position may also involve scheduling appointments, patient outreach, administering vaccines, collecting specimens, and communicating with multidisciplinary teams while maintaining knowledge of regulatory standards. Flexibility, multitasking in a fast-paced environment, and the ability to adjust to patient volume are essential. The role also includes customer service interactions, managing EHR databases, resolving conflicts, and overseeing scanning of documents and medication samples. The Clinical Administrative Lead is responsible for all Cooper 365 phone matters, recertifications, referrals, and prior authorizations, and should demonstrate leadership and team-building skills.

Requirements

  • Must be a Certified Medical Assistant
  • Graduate of a Medical Assistant Program
  • Medical Assistant Certification
  • 3-5 Years of experience
  • Must be local to Camden, NJ area
  • Must be able to attend a few weeks of training in person for 2-3 weeks

Responsibilities

  • Greets patients and guests utilizing AIDET and provides excellent service experience.
  • Provides patient support and keeps informed of delays, taking appropriate action including offering alternatives.
  • Accurately and efficiently performs administrative duties including rooming functionality and documentation (vitals, pain, reason for visit, review of medications, social, surgical, family, and medical history).
  • Completes work in EMR in-baskets and telephone communication, Mychart messaging and documents in medical record.
  • Obtains reports, results, and medical records.
  • Completes insurance and/or disability forms, precertification and/or authorizations, point of care testing, transcribing orders, or order entry (protocol).
  • May be assigned to assist with bump lists, wait lists and appropriate WQs.
  • Makes appointments, including follow-up appointments for patients in a high customer service environment across the healthcare continuum.
  • Performs and documents patient outreach and call backs for messages received in pool, MyChart messaging and confirmation calls.
  • May administer vaccines and documents appropriately and in accordance with established policies.
  • May collect specimens and handles per established protocols including proper labeling and safety handling.
  • Assists physicians/providers with monitoring and reporting lab results.
  • Files all reports, labs, radiology reports and miscellaneous correspondence in EMR and attaches results to appropriate orders.
  • May obtain prior authorization for medications, procedures, and testing.
  • Successfully communicates with multidisciplinary team members and patients upholding Mission, Vision and Values and adhering to Code of Ethical conduct.
  • Maintains working knowledge of regulatory standards and is accountable to sustain these standards in daily operations.
  • Provides customer service while interacting with patients, referring to offices, and team members over the phone, TH, or via electronic communication.
  • Works with clinicians and patients to schedule appointments.
  • Provides MA support to include vital screening, requests when needed.
  • Responsible for maintaining EHR database, confirming appointments, printing documents for visits and ensuring patient completes them.
  • Resolves conflicts in the best possible manner and handles phone calls accordingly.
  • Responsible for providing both check-in/out and MA services.
  • Handles all Cooper 365 phone matters.
  • Completes all recertifications, referrals, and prior authorizations.
  • Develops processes to run and manage efficiently.
  • Obtains and verifies personal, demographic, and financial information for each patient and enters all necessary information into the practice management system.
  • Delivers an exceptional experience to patients, customers and physicians/clinicians in a consistent and timely manner.
  • Oversees all scanning of documents, CDL physicals, and management of medication samples.
  • Processes all new patient contracts and questions.
  • Ensures all paperwork is aligned to make sure collections are consistent.
  • Handles customer complaints independently and assists clinicians with patient escalations.
  • Performs other duties as assigned by the manager.
