About The Position

The Scandia Supervisor is responsible for assisting with the leadership and oversight of daily clinical operations within the ambulatory clinic setting. This role provides operational direction and support to ensure the delivery of high-quality, patient-centered care while promoting positive population health outcomes and an engaging work environment for clinicians and staff. This role would be overseeing Clinic Assistants, Lab, Patient access and Radiology. As well as support the Urgent care part-time.

  • Knowledge of medical billing requirements, third party payers, coordination of benefits, scheduling practices and provider template management required.
  • Demonstrated performance excellence and leadership qualities in previous positions.
  • Demonstrates an aptitude and willingness to learn new responsibilities.
  • Excellent verbal and written communication skills
  • Excellent organization, interpersonal, and customer service skills
  • Expertise in PC software, especially with the electronic medical record (EMR), word processing and spreadsheet programs.
  • CMA or LPN license/certification.
  • Limited Scope X-Ray Machine Operator Course or ability to obtain after hire
  • Three years of experience in a healthcare, X-ray, Phlebotomy and or clinic operations, or at least 1 year of related experience in a leadership role
  • Sit, stand, or walk, while paying close attention to detail and continual use of equipment in the carrying out direct patient care and related activities.
  • Lift from waist to shoulder up to 25 pounds occasionally, and up to 50 pounds rarely.
  • Carry up to 20 pounds frequently and up to 50 pounds occasionally. Push and pull up to 20 pounds frequently and up to 50 pounds occasionally.
  • Bend the trunk up to 20 degrees or greater and twist occasionally for patient care.
  • Squat and kneel occasionally. Reach to shoulder height occasionally, and above shoulder height rarely. Pinch and grip with various forces and use bimanual dexterity occasionally.
  • Use visual and auditory acuity frequently.
  • Repetitive motion of upper body required for extended use of computer.
  • Communicate via spoken, written or electronic word with patients and family, staff, pharmacies, third party payors and other outside agencies on a frequent basis.

  • Knowledge of managed care referral and prior authorization requirements as they relate to hospital reimbursement strongly preferred.

Responsibilities

  • Maintain knowledge of OMC policies and procedures.
  • Develop staffing schedules and ensure appropriate staffing coverage.
  • Assist with interviewing, hiring, and onboarding staff.
  • Provide coaching, feedback, and performance support to staff.
  • Conduct training assessments and address employee concerns as needed.
  • Monitor compliance with policies and procedures and communicate updates to staff.
  • Support daily clinic operations by performing departmental duties as needed.

  • Ensure patient experience and service standards are met.
  • Serve as a resource for clinic workflows, standards of care, and operational processes.
  • Monitor department productivity, work queues, reports, and documentation for accuracy and timely follow-up.
  • Identify workflow issues, recommend improvements, and support process improvement initiatives.
  • Assist with EHR implementation, upgrades, testing, and staff support.
  • Ensure compliance with organizational policies, safety standards, confidentiality requirements, RHC standards, and CMS regulations.
  • Provide staff training and education to improve performance and reduce recurring issues.
  • Collaborate with departments and leadership to support clinic operations and patient care.
  • Assist with resolving escalated patient concerns and complex situations.
  • Monitor equipment needs and assist with budget planning as needed.
  • Provide orientation for new employees to OMC and clinic departments.
  • Develop and maintain training materials, schedules, and documentation.
  • Coordinate and support onboarding, cross-training, and ongoing staff education.
  • Monitor training progress and adjust training methods as needed.
  • Identify competency gaps and provide targeted development opportunities.
  • Promote and support staff participation in internal and external development opportunities.
  • Evaluate training effectiveness and make improvements based on feedback.
