About The Position

Mass General Brigham Medical Group Northern Massachusetts, Inc. is seeking a full-time, 40-hour Clinic/Practice Assistant to support their primary care practice located at 104 Endicott St in Danvers, MA. This role is crucial for improving patient access and meeting community health needs. The primary care team focuses on a compassionate, family-focused approach, building relationships and ensuring personalized, exceptional care in a friendly atmosphere. The Clinic/Practice Assistant will primarily support the primary care team, with occasional cross-coverage for specialty practices. This role acts as the gatekeeper of the practice, ensuring the highest quality patient experience. The ideal candidate is a well-rounded customer service professional who can multitask, prioritize, and thrive in an outpatient setting. The position performs both administrative and clinical functions to support smooth and efficient operations under general supervision, including basic clerical work, patient scheduling, check-in/check-out, processing billing forms, scanning documents, managing patient records, and handling prior authorizations, prescription refills, and test results. The role may also involve more complex functions like surgical scheduling at an advanced competency level and acting as a "Super User" for scheduling, registration, and billing systems, providing training to others.

Requirements

  • High School Diploma or Equivalent required
  • 2-3 years of office experience required

Nice To Haves

  • Certified Medical Administrative Assistant [CMAA] preferred
  • Customer service experience
  • Experience working in a community-based medical practice
  • Epic experience preferred

Responsibilities

  • Make patient appointments and maintain appointment records.
  • Greet and assist patients.
  • Answer telephones, assist callers with routine inquiries, and schedule appointments.
  • File materials in patient folders and print appointment schedules.
  • Process patient billing forms and scan documents to patient medical records/LMR.
  • Call for patient medical records and laboratory test results.
  • Open and distribute unit mail or faxes.
  • Type forms, records, schedules, memos, etc., as directed.
  • May be required to accept co-payments.
  • Handles, screens, and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
  • Acts as "Super User" for scheduling, registration, and billing systems.
  • Provides assistance and training to others in these areas.
  • May perform more complex or specialized functions (i.e., surgical scheduling, schedule changes/blocking) at a more advanced competency level.
