This role involves working closely with operations management and physician leaders to meet patient and provider expectations, managing clinic operating budgets, analyzing financial and operational reports, and collaborating on policy changes. The position requires decision-making based on data analysis and operational knowledge, implementing improvements for patient experience, production, quality of care, and financial performance. It also involves participating in marketing strategies, ensuring administrative and operational effectiveness, managing relationships with providers, suppliers, and vendors, maintaining patient confidentiality, resolving patient complaints, and overseeing various financial functions like accounts payable, payroll, billing, and collections. The role includes fostering community outreach, managing clinic staff through recruitment, retention, training, and performance management, and ensuring staff development and succession planning. Additionally, the Clinic Manager is responsible for identifying and addressing substandard patient care, educating staff on company direction, leading staff meetings, overseeing compliance with Vituity programs and quality initiatives, and ensuring the maintenance of clinic facilities and equipment in compliance with regulatory agencies.

Requirements

  • Bachelor's degree in healthcare administration, business administration, or a related field and four (4) years of healthcare experience or an equivalent combination of education and experience that demonstrates attainment of the required competencies required.
  • Six (6) years of clinical experience required.
  • Four (4) years of leadership experience in a healthcare setting and role required.
  • Able to successfully navigate issues that impact providers, clinic operations, compliance, and business goals as well as understand their correlation and impact.
  • Expected to use sound judgment and be able to recognize issues, or a pattern of issues, with policies and processes.
  • Develop and maintain effective and professional relationships with patients, staff, and providers.
  • Strong understanding of healthcare systems, regulations, and policies.
  • Demonstrate knowledge about medical terminology, patient care, and clinical procedures.
  • Able to effectively lead and manage a team of healthcare professionals.
  • Strong understanding of financial management principles, including budgeting, forecasting, and revenue management.
  • Excellent communication skills to interact with patients, staff, and other healthcare providers. This includes being able to communicate clearly and effectively both verbally and in writing.
  • Must be highly organized and able to manage multiple priorities.
  • Know-how and experience using technology and electronic health records (EHRs) to manage patient data and clinical operations.
  • Able to identify and implement strategies to improve patient satisfaction and outcomes.

Responsibilities

  • Work closely with Operations Manager, Director of Operations, and their Physician Leader counterparts to ensure that expectations of the patients and providers are met.
  • Adhere to clinic operating budget including projecting patient volumes, revenue, technical and professional fees, equipment expenditure, staff growth and space needs.
  • Analyze monthly financial and operational reports for statistical data on patient volumes, clinic production, and revenue.
  • Collaborate with medical directors to determine and/or make recommendations on operating policy changes.
  • Involved in developing, modifying, and executing policies that affect immediate operations of the clinic.
  • Make clear recommendations and implements policy, process and workflow improvement and changes to address areas of deficiency in patient experience concerns, production, quality of care, and financial analysis.
  • Participate in marketing strategies to develop programs to enhance and further our competitive advantage.
  • Responsible for ensuring administrative and operational effectiveness of the clinic.
  • Develop and maintain relationships with healthcare providers, suppliers, and vendors.
  • Maintain accurate patient records and ensure that patient information is kept confidential.
  • Manage patient complaints and resolve conflicts between patients and staff.
  • Participate in the development of clinical protocols and guidelines to ensure that patient care is of the highest quality.
  • Oversee accounts payable, purchasing/inventory, payroll, billing, and collection functions for clinics.
  • Oversee communication between the patients and billing office, including financial arrangements and charity care requests as needed.
  • Foster relationships and outreach within the local community to enhance awareness, strengthen partnerships, and advance organizational growth initiatives.
  • Manage clinic staff; responsible for recruitment and terminations and managing performance.
  • Manage recruitment, retention, training compensation, and performance management of all clinic support staff.
  • Responsible for succession planning and career development of team.
  • Responsible for identifying and discontinuing careless and negligent patient care due to staff skills, errors, faulty judgement, or inadequate processes, policies, and workflows specific to the clinic.
  • Provide education and direction to frontline staff on the partnership’s direction, initiatives, and strategic plans.
  • Lead monthly all-staff meetings and actively participate in ongoing provider meetings.
  • Oversee clinic participation and compliance with all Vituity programs.
  • Oversee quality and medical management programs for the clinic.
  • Oversee maintenance of the clinic building, offices, and equipment.
  • Ensure compliance with all regulatory agencies governing healthcare delivery and rules if accrediting bodies; must continually monitor operations.
