About The Position

Coordinates and supports daily clinical operations and care coordination and collaborates to improve workflow in clinical activities and processes. This role is crucial for ensuring high-quality patient care by collaborating with healthcare providers, nursing teams, and administrative staff. The Clinic Coordinator will manage unit communications, clerical processes, and environmental activities within the clinic. Responsibilities include assisting with office administration, patient communication, paperwork completion, and report maintenance. The role also involves reviewing intake packets, assisting with questionnaire scoring and results documentation, managing phone calls, scheduling and rescheduling appointments, and processing faxes. Additionally, the coordinator will assist in emergency situations, verify appointments during inclement weather, and efficiently room patients. Problem-solving for scheduling and time management is a key aspect, along with maintaining patient confidentiality and adhering to HIPAA guidelines. A significant part of the role involves assisting the clinical team in obtaining prior authorizations and pre-certifications for tests and services.

Requirements

  • High School Diploma or equivalent, required.
  • BLS, required.
  • Two years of medical office experience, preferred.
  • Experience with electronic medical records, preferred.

Responsibilities

  • Collaborates with healthcare providers, nursing team, and administrative support staff to ensure high quality patient care.
  • Coordinates unit communications, efficient clerical clinic processes, and environmental activities in the clinic.
  • Assists with office administration, patient related communication, completion of paperwork, and maintenance of reports and processes.
  • Reviews incoming intake packets.
  • Assists in the scoring and results documentation of incoming questionnaires.
  • Answers phones, assists in scheduling and rescheduling patient appointments, and processes incoming faxes.
  • Assists in emergency situations, initiating emergency calls and verifying appointments in inclement weather conditions.
  • Assists in the delivery of high-quality patient care through efficient rooming of patients.
  • Manages patient loads in an efficient manner and problem solves with scheduling and other time management matters.
  • Maintains confidentiality and adheres to HIPPA guidelines.
  • Assists clinical team in obtaining prior authorizations and pre-certifications for testing and services as indicated and documents appropriately.
