About The Position

NeighborHealth, formerly East Boston Neighborhood Health Center, is a large community health center serving the greater Boston area with a commitment to patient and community health. Every role is vital, from direct care providers to support staff. This position is full-time in the PACE Primary Care department at 26 Sturgis Street, Winthrop. The Clinic Coordinator manages the PACE Clinic flow, including scheduling, assisting providers and IDT members, coordinating participant care, and anticipating needs. This role expands upon the Medical Assistant (MA) role with increased responsibility in coordinating clinic activities, overseeing MAs, addressing barriers, resolving scheduling issues, and ensuring communication within the PACE clinic and IDT. The Clinic Coordinator is expected to excel at all essential MA duties in addition to the specific responsibilities listed.

Requirements

  • Certified Medical Assistant
  • Experience working in medical practice management, ambulatory care, or Emergency Department
  • Meets medical assistant skill level with the addition of demonstrated leadership ability.
  • Demonstrates ability to communicate effectively both verbally and in writing.
  • Computer skills- EPIC, Windows

Responsibilities

  • Participates in ongoing training of MAs and orientation of new MAs.
  • Displays excellent customer service skills.
  • Assists participants to resolve concerns around care coordination in the PACE clinic.
  • Coordinates MA assignments, meal break coverage, and oversees patient flow.
  • Assures that waiting participants have been updated.
  • Assists in coordinating MA vacations and time off requests.
  • Ensures adequate coverage and provides back up as needed.
  • Assists participants with scheduling and rescheduling PACE clinic appointments and booking interpreters if needed.
  • Identifies problem areas and works with clinic team to develop and test solutions and recommend actions.
  • Ensures that participant preferences are coordinated (e.g., Female only/male only).
  • Coordinates chaperones as needed.
  • Assists participants with checking in and checking out of PACE clinic appointments, including scheduling the next appointment and providing an appointment card and after-visit summary.
  • Triages and troubleshoots missed appointments, reschedules, and keeps the clinic schedule in real time.
  • Resolves scheduling issues.
  • Attains and maintains proficiency in the use of the electronic medical record as it pertains to workflows for the medical assistant.
  • Trains MAs in the implementation of new workflow changes.
  • Oversees review of all providers’ schedules for appropriate scheduling.
  • Oversees ordering of clinical supplies with supervisor approval.
  • Participates in departmental process redesign, QI activities, and special projects as assigned.
  • Maintains quality control for all lab testing equipment (e.g., Clinitech; Co-Ag, Hemocue).
  • Checks exam room equipment (ophthalmoscope; otoscope, exam lamp) to ensure working order.
  • Reports issues/ensures equipment functioning properly, including maintaining and changing bulbs as needed.
  • Assists in the maintenance of all participant education materials.
  • Promotes a sense of “teamwork” through demonstration of self-direction and self-motivation.
  • Solves problems independently or knows when to seek consultation.
  • Displays outstanding customer service skills when interacting with participants, families, and all PACE/EBNHC customers.
  • Adheres to all EBNHC and departmental policies and procedures.
  • Participates in required departmental activities and meetings.
  • Responsible for ensuring exam rooms are kept clean and fully stocked with both medical and clerical supplies.
  • Acts as a resource and role model to staff.
  • Assists in identifying role conflicts.
  • Maintains excellent punctuality and attendance.
  • Reads, understands, and complies with all Standards of Conduct, JCAHO policies, CMS Pace Program Regulations and Standards, applicable State regulations and guidelines, ESP policies and procedures, and all laws related to position responsibilities and employment at EBNHC.
  • Upholds procedures and systems to safeguard the confidentiality of all patient and employee information.
  • Upholds safety policies, practices, and procedures, including safety, fire safety, electrical safety, proper body mechanics and material handling, office/ergonomic safety, and other employee safety measures.
