About The Position

This role encompasses multiple functions within a clinic setting, including Medical Assistant, Receptionist, Surgery Scheduler, Referral Liaison, and Lab duties. The successful candidate will support patient care, manage administrative tasks, coordinate schedules, and perform basic laboratory procedures while adhering to clinic protocols and regulatory requirements.

Requirements

  • Successful completion of a medical assistant program accredited by the Commission on Accreditation of Allied Health Programs (CAAHP) or Accrediting Bureau of Health Education Schools (ABHES).
  • Certified Medical Assistant (CMA) certification or Registered Medical Assistant (RMA) certification must be obtained within the first year of employment and maintained thereafter.
  • Basic Life Support (BLS) for the Healthcare Provider certified or obtained within three (3) months of hire.
  • Proof of completion of Mandatory Reporter abuse training specific to the population served within three (3) months of hire.
  • Familiarity with ICD-9/10 coding and CPT coding.
  • Proficiency in computer and internet skills to access payer websites, perform surgery scheduling on multiple systems, verify patient eligibility for benefits, and obtain surgery pre-certifications.

Responsibilities

  • Recognize urgent/emergent patient needs and initiate appropriate emergency procedures.
  • Function within payor regulations and guidelines.
  • Organize and manage the electronic medical record, including test results, filing, and charging.
  • Facilitate interdisciplinary communication and utilize healthcare team members for patient assessment.
  • Assess and address patient and family learning needs, providing accurate information.
  • Evaluate patient and family understanding of treatment plans.
  • Assist with procedures, exams, and operation of diagnostic equipment (e.g., EKG, spirometry, tympanometry).
  • Maintain aseptic technique for procedures and medication administration.
  • Accurately document all patient interactions in the electronic medical record.
  • Report results and pertinent information to patients and healthcare team members.
  • Perform basic medical assistant functions such as taking vitals, rooming patients, assisting with procedures, immunizations, and medication injections under provider supervision.
  • Maintain professional appearance of patient exam and procedure rooms.
  • Maintain supplies in assigned areas.
  • Coordinate patient flow through the clinic, ensuring efficient continuity of care.
  • Complete required forms, greet patients, verify demographics and insurance information, and coordinate physician releases.
  • Convey accurate and complete messages to appropriate personnel.
  • Manage the charge ticket process through the patient visit.
  • Coordinate physician surgery schedules between the OR and office.
  • Provide pre- and post-surgery information and manage surgery scheduling.
  • Meet with patients in person and by phone to coordinate care.
  • Work closely with insurance companies and make referrals according to their guidelines.
  • Coordinate referrals with other provider's offices in a timely manner.
  • Implement and follow a tracking system for all referrals.
  • Process requests for physical forms/immunization forms.
  • Perform laboratory testing, including phlebotomy and routine/automated tests.
  • Maintain records of laboratory tests performed and results received.
  • Comply with regulatory agencies (CLIA, COLA, OSHA) in lab operations.
  • Maintain quality control and proficiency testing for laboratory procedures.
  • Report technical problems and ensure remedial actions are taken for deviations in performance.
  • Cross-cover in other clinic areas as needed.
  • Maintain equipment, identify problems, and coordinate repairs.
  • Participate in Performance Improvement projects.
