About our Client: A locally operated tree-care company serving residential and commercial properties across South Florida. Its services include tree trimming and removal, palm care, stump grinding, hurricane preparation, emergency response, and arborist services, supported by an experienced field team and professional service standards. Short Description: We are looking for a highly organized and customer-focused Client Support & Operations Coordinator to serve as a key first point of contact for customers. This role goes beyond answering calls: you will understand customer needs, gather relevant information, explain services at a basic level, and connect each request with the appropriate team member. You will also support scheduling, client onboarding, estimate preparation, reporting, coordination, and day-to-day administrative operations. The role is ideal for someone who can combine strong customer interaction skills with reliable operational follow-through and is comfortable learning new processes, software, and industry terminology.

Requirements

Excellent English communication skills, both verbal and written, with a professional and confident phone presence.
Strong customer service skills with the ability to listen actively, ask relevant questions, understand customer needs, and communicate information clearly.
Strong organizational and multitasking abilities, particularly when managing scheduling, follow-ups, and multiple customer requests.
Ability to learn new software, processes, and industry terminology and apply established scripts, guidelines, and workflows.
Ability to work independently while using good judgment to determine how customer requests should be handled.

Nice To Haves

Previous experience in customer service, reception, virtual assistance, office administration, scheduling, or operations is preferred.
Experience with CRM, scheduling, estimating, or other business-management software is preferred.
Spanish proficiency is preferred, particularly for supporting bilingual customer interactions.

Responsibilities

Answer and manage incoming calls, serving as a professional first point of contact for new and existing customers.
Follow up promptly on estimate requests through phone, email, and other channels, gathering the information needed to understand each request.
Ask relevant questions about customer needs and property details, identify the appropriate service or assessment, and route requests to the right team member.
Schedule estimates, appointments, service visits, and follow-ups while coordinating customer and team availability.
Support client onboarding, customer setup, documentation, reporting, and internal follow-up to keep operations organized.
Assist with estimate preparation and drafting in the company’s software according to established processes and guidelines.
Communicate the company’s services clearly and professionally, helping customers understand when specialized tree-care services or assessments may be appropriate.
Coordinate with internal teams to ensure customer requests are properly routed, tracked, and followed up.
Take on additional administrative, operational, and customer support responsibilities as the role develops.
