About The Position

Friend of the Court is seeking an individual with strong clerical, communication and customer services skills to fill a Client Services Assistant position. The selected candidate prepares and processes orders, legal documents and correspondence; pulls and maintains files; receives payments; and enters case information into a statewide database. This person serves as the primary point of contact for the daily needs of the Friend of the Court clientele. Requirements

  • One to two years of clerical/secretarial and customer service experience.

  • Post-secondary education in business, information processing or related areas is preferred.

Responsibilities

  • Serves as the primary point of contact for the daily needs of the Friend of the Court clientele.
  • Answers client in-person, emails and telephone requests, and directs calls or individuals to appropriate staff.
  • Answers inquiries regarding procedural and/or case information.
  • Responsible for assessing clients at check in for active bench warrants from Newaygo County and/or other counties on MiCSES.
  • Monitors individuals with active bench warrants pending their meeting with an Enforcement Officer.
  • Receives and receipts payments from clients and ensures proper case is credited.
  • Adds payments received by mail or from walk-in clients, calculates amount and totals of payments, and verifies accuracy of totals.
  • Posts payments to MiCSES.
  • Files correspondence, orders, legal documents and all other pertinent information to the appropriate case files.
  • Retrieves and distributes case files for various court functions.
  • Maintains the files to ensure that they are in working order, audits files to verify that file requirements are met and periodically assesses the location of files that have been signed out to determine the whereabouts of the file.
  • Schedules mandatory orientation program for Friend of the Court clients and makes notation in MiCSES.
  • Responsible for cross checking each party on the AS400 system in both Circuit and District Court menus for personal protection orders, domestic violence, and assaultive crimes to ensure the safety of the parties and staff during orientation programming.
  • Ensures that clients have the proper, completed paperwork when checking in for orientation programming as required for funding purposes.
  • Performs a variety of other clerical and secretarial tasks such as creating and mailing information packets, copying documents, requesting supplies to be ordered, maintaining office equipment, etc.
  • Works on special projects and reports generated by MiCSES and/or staff at the discretion of the FOC Operations Manager.
