About The Position

Polk Street Animal Hospital is seeking a Client Service Representative to join their growing team in San Francisco. Located in the vibrant Polk Gulch neighborhood, the hospital is a modern, state-of-the-art facility that has proudly served the community for five years. As a Client Service Representative, you will be one of the first people clients speak with and one of the last they see before leaving, helping to set the tone for every visit by creating a welcoming, organized, and compassionate experience for pets and their owners. Requirements

  • One year of veterinary client service experience is preferred but not required.
  • Previous customer service, reception, healthcare, or hospitality experience is helpful.
  • Strong organizational and time-management skills.
  • Excellent telephone and in-person communication abilities.
  • A friendly, professional, and compassionate approach.
  • The ability to remain calm and organized in a fast-paced environment.
  • Strong attention to detail and accurate data-entry habits.
  • Confidence managing multiple calls, appointments, and competing priorities.
  • The ability to recognize potential emergencies and escalate concerns appropriately.
  • Comfort discussing invoices, charges, services, and hospital policies with clients.
  • Compassion for clients and an understanding of the stress families may experience when their pets need care.

Responsibilities

  • Welcome clients and their pets with warmth, professionalism, and compassion.
  • Serve as a primary point of contact for clients in person and by phone.
  • Answer incoming calls and respond to client questions.
  • Identify routine concerns and recognize situations that may require urgent attention.
  • Schedule and coordinate appointments.
  • Help prioritize scheduling needs and maintain an organized hospital calendar.
  • Check clients and patients in and out.
  • Enter and maintain accurate client, patient, and financial information.
  • Prepare invoices and clearly explain charges to clients.
  • Process payments accurately.
  • Maintain complete and organized medical records.
  • Document client communications clearly and thoroughly.
  • Coordinate information between clients and the medical team.
  • Communicate hospital policies, services, and next steps.
  • Help manage client expectations during busy or stressful situations.
  • Provide compassionate support to families whose pets need care.
  • Support the daily flow and organization of the hospital.
  • Assist with general administrative responsibilities.
  • Maintain confidentiality of client and patient information.
  • Contribute ideas that improve client service and hospital operations.
  • Support teammates and help maintain a positive, efficient workplace.
