About The Position

The Castro Animal Hospital is hiring a Client Service Representative for a full-time position. This role is crucial in shaping the client experience at a modern veterinary hospital. The Client Service Representative will be one of the first and last points of contact for clients, responsible for more than just administrative tasks. They will help clients understand next steps, facilitate communication between clients and the medical team, and create a calmer experience during stressful times. The hospital is a fast-paced, community-focused veterinary practice in San Francisco's Castro neighborhood, dedicated to providing expert treatment, compassionate service, and a welcoming environment.

Requirements

  • One year of veterinary client service experience preferred but not required
  • Customer service, reception, healthcare, or hospitality experience is helpful
  • Excellent phone and in-person communication skills
  • Strong organization, time management, and attention to detail, with accurate data entry
  • Confidence juggling multiple calls, appointments, and competing priorities
  • The ability to stay calm and organized in a fast-paced environment
  • Comfort discussing invoices, services, and hospital policies with clients
  • Compassion for families and an understanding of the stress they may feel
  • A self-motivated, collaborative attitude and willingness to take initiative
  • Leadership potential and an interest in continued professional growth
  • Availability to work Saturdays as part of the regular schedule
  • Ability to stand or sit for extended periods

Responsibilities

  • Welcome clients and their pets with warmth, professionalism, and compassion
  • Serve as a primary point of contact in person and by phone, answering calls and client questions
  • Recognize routine concerns and situations that may need urgent attention, and escalate appropriately
  • Schedule and coordinate appointments, prioritizing needs and keeping the hospital calendar organized
  • Check clients and patients in and out
  • Prepare invoices, explain charges clearly, and process payments accurately
  • Enter and maintain accurate client, patient, financial, and medical records
  • Coordinate information between clients and the medical team, documenting communications thoroughly
  • Communicate hospital policies, services, and next steps, and help manage expectations during busy times
  • Provide compassionate support to families whose pets need care
  • Maintain the confidentiality of client and patient information
  • Support daily hospital flow, administrative tasks, and a positive, efficient workplace
