The Client Reports Administrator is responsible for ensuring the accuracy, integrity, and timely delivery of client reporting, including performance, advisory fee, and fiscal (tax) reporting. This role involves resolving issues that go beyond routine steps, validating data from various sources, and developing expertise across all three reporting disciplines. The position partners with Advisory, Operations, Finance, and Technology teams to support our private wealth clients and the firm’s evolving reporting needs.

Requirements

  • Bachelor’s degree in Business, Finance, Accounting, or a related field (or equivalent experience).
  • 3 years of experience in financial services administration or investment operations preferred.
  • Strong investment and tax knowledge.
  • Proficiency with Excel and strong numerical aptitude.
  • Strong analytical and problem-solving skills, with close attention to detail.
  • Comfortable gathering and working with reporting data.
  • Excellent written and verbal communication skills.

Nice To Haves

  • Related financial services education or progress toward a designation (e.g., CSC, CFA, CFP) an asset.
  • Familiarity with SQL or BI tools an asset.

Responsibilities

  • Prepare, validate, and deliver monthly, quarterly, and annual reporting across performance, advisory fees, and fiscal (tax) reporting, ensuring accuracy and completeness before distribution.
  • Maintain data integrity across reporting by identifying discrepancies, investigating their root cause, and resolving issues at source. Escalate unresolved or complex issues promptly to prevent impact on client reporting.
  • Work with external vendors to source pricing and transaction data for products held outside our primary custodian. Interpret statements and transaction notices across established products, and ensure the data is entered accurately for reporting.
  • Calculate and reconcile monthly advisory fees, including blended AUM, negotiated rates, and fee adjustments, ensuring accuracy across accounts.
  • Support year-end fiscal reporting in partnership with Fund Operations, reconciling tax data and sourcing distribution breakdowns for third-party holdings (e.g., ETFs, stocks, third-party mutual funds) from fund companies or reliable sources. Collect, verify, and distribute tax slips to client and accountant portals.
  • Maintain historical reporting data—fund distributions, tax breakdowns, and foreign exchange rates—and match internal account transfers and share-class switches.
  • Monitor the team inbox and respond to reporting, tax, and investment queries from the Private Wealth team, including validating performance return accuracy, reviewing adjusted cost base (ACB) calculations, and explaining gain/loss impacts on sales.
  • Identify opportunities to refine and streamline processes, document procedures, and flag system issues; contribute to cross-team initiatives that improve reporting quality and efficiency.
  • Develop and maintain competency across all three reporting disciplines, supporting the team’s resilience and consistent delivery.
