About The Position

Under direction, supervise and integrate the activities and personnel of the Telephone Reporting Unit with the Records Division on an assigned shift to ensure that non-emergency calls are properly processed and documented in a timely manner.

Requirements

  • Associate degree or higher
  • Three (3) years of experience in public safety dispatching, call-taking, or law enforcement record keeping
  • One (1) year of lead or supervisory experience
  • Texas Crime Information Center (TCIC) certification and Texas Law Enforcement Telecommunications System (TLETS) certification required within six (6) months of appointment
  • All licenses and certificates must be maintained during employment, including Department and Division requirements for continuing education credits
  • Must successfully pass a stringent background investigation

Responsibilities

  • Oversee service provided to customers, including supervising support staff in providing customer service and receiving non-emergency phone calls for service and report writing in the Police Department's automated records management system.
  • Guide customer service provided to the public, departmental personnel, and representatives from other agencies in creating and distributing police reports.
  • Provide direction to and supervise Police Reports Specialists on an assigned shift, including assigning, scheduling, guiding, and monitoring work.
  • Ensure adequate personnel are on duty.
  • Review calls for quality assurance and adherence to established policies and procedures.
  • Monitor unit productivity and efficiency; compile, review, and prepare data reports using specialized equipment and software for management use.
  • Ensure that employee timekeeping and payroll actions are submitted for processing promptly.
  • Review police reports generated in the unit for accuracy; approve reports to the designated level.
  • Intervene when necessary to respond to customer inquiries and resolve their concerns.
  • Research, investigate, and follow up on citizen and interdepartmental complaints regarding report quality and report-taking operations.
  • Serve as a liaison between division management and line personnel.
  • Evaluate employee performance, regularly recording and maintaining individual performance notes.
  • Provide for training and development by identifying unit and individual training needs, developing and conducting training as needed.
  • Counsel, mentor, motivate, and maintain harmony; identify and resolve staff differences, conflicts, and deficiencies.
  • Interview applicants; recommend hiring, discipline, termination, merit pay, or other employee status changes.
  • Enforce personnel rules and regulations and work behavior standards firmly and impartially.
  • Inform division-level supervisor and manager of ongoing incidents and advise of potentially serious situations.
  • Perform duties of Supervisor or other administrative duties to ensure continuity of Division operations.
  • Monitor the operation of the automated communications systems.
  • Identify, troubleshoot, and correct minor problems.
  • Notify technicians of equipment failures and malfunctions.
  • Review information logs used by unit personnel to ensure all data is accurate and complete.
