About The Position

Job Duck is seeking a proactive, polished Client Intake Representative to serve as the first point of contact for potential clients and set the tone for an exceptional client experience. In this role, you will manage inbound calls, confidently guide prospects through the intake process, and help determine whether their needs align with available legal services. You will play a key role in converting qualified leads into scheduled consultations while maintaining professionalism, empathy, and clear boundaries. This position is ideal for someone who thrives on structured conversations, enjoys working independently, and takes pride in delivering calm, confident communication over the phone. Your daily work will directly support client trust, operational efficiency, and business growth.

Requirements

  • 1 year of experience working as an intake specialist in a law firm or in sales positions
  • Fluent English with clear pronunciation and strong phone presence is a must
  • Confident communicator able to sell value and services naturally
  • Detail-oriented with the ability to follow written processes precisely
  • Organized and reliable when managing multiple leads simultaneously
  • Empathetic yet assertive when reinforcing professional boundaries
  • Independent problem solver who knows when to escalate questions
  • Client-focused mindset with a consistently professional demeanor
  • Remote, Pacific Standard Time (PST)
  • Monday to Friday
  • High call volume expected
  • Familiarity with CRMs like Clio, MyCase, Filevine is strongly preferred
  • VOIP: Quo
  • Other: Slack, Gmail, Google Workspace

Responsibilities

  • Follow up with leads to support conversion and continued engagement
  • Schedule paid consultations for qualified prospects
  • Provide consultation fee quotes using predefined guidelines
  • Ask structured qualifying questions to effectively screen leads
  • Communicate lead status and updates with internal team members
  • Maintain accurate and up to date lead records in tracking systems
  • Send agreements and assist clients through the signup process
  • Professionally reinforce boundaries when clients request off-process access
  • Handle inbound calls from potential clients and conduct initial intake
