Job Description: As a Legal Client Intake Associate, you will serve as the first point of contact for prospective and existing clients, playing a vital role in shaping each client’s experience from the very first interaction. This role is ideal for someone who enjoys managing conversations, organizing details, and ensuring that clients feel supported and informed throughout the intake process. You will handle phone inquiries, coordinate scheduling, and support the firm’s day‑to‑day operations by keeping systems accurate and communication flowing. Your work will directly impact client satisfaction and operational efficiency by ensuring every inquiry is handled with care and professionalism. Candidates who are customer‑focused, organized, and comfortable navigating legal conversations will thrive in this role.

Requirements

  • Minimum of 1 year of experience in a client-facing role, such as customer service or sales.
  • Strong customer service orientation
  • Clear and professional verbal communication skills
  • Ability to manage multiple phone calls and inquiries efficiently
  • Basic understanding of legal terminology
  • Organized and detail-oriented approach to work
  • Ability to follow processes and act as a gatekeeper for the firm
  • Comfortable working independently in a remote environment
  • Time Zone: Eastern Standard Time EST

Responsibilities

  • Provide consistent customer service support throughout the intake process
  • Maintain and update client information in the CRM
  • Follow up with prospective and existing clients
  • Schedule appointments and coordinate calendars
  • Send retainer agreements and payment requests to clients
  • Act as the initial point of contact and intake gatekeeper
  • Manage inbound phone calls and respond to client inquiries
