About The Position

Job Duck is seeking a motivated, client-focused Intake Specialist to serve as the first point of contact for prospective clients. The role engages with new inquiries, responds promptly to leads, and guides potential clients through the initial stages of their journey. Building trust, listening attentively, and communicating with empathy are central to creating a positive client experience and supporting business growth.

The position suits someone who thrives in a fast-paced environment, enjoys meaningful conversations, and can balance sales awareness with sound judgment and strong organizational skills. The coordinator helps maintain an efficient intake process and ensures prospective clients feel heard, understood, and supported. The compensation range is USD 1,142 to USD 1,220 monthly. The schedule is 7:00 AM to 4:00 PM, Monday through Friday, PST. English is listed as the language.

Requirements

• Previous intake experience.
• Problem-solving ability.
• Sales savvy or sales-oriented experience.
• Comfort handling phone conversations; excellent communication and empathy, including the ability to build rapport and help distressed or vulnerable callers feel heard and understood.
• Exceptional attention to detail and a highly meticulous approach to work.
• Strong organizational and time-management skills.
• Professional and comfortable phone communication.
• Honesty.

Responsibilities

• Triage inquiries to identify qualified, viable prospective clients and distinguish inquiries that require other assistance.
• Respond to incoming calls and contact new leads from website forms and social media inquiries; the firm aims to contact new leads within five minutes of submission.
• Keep lead records and relevant details accurately updated in the CRM.
• Schedule qualified prospects for free consultations using the cloud-based calendar, or transfer calls directly.
• Work and follow up on the existing prospective-client pipeline, including people who have already had consultations.
