About The Position

Our mission is to help seniors live independently, confidently, and joyfully through compassionate in-home care, personalized therapy, and innovative brain health programs. We're seeking an organized, detail-oriented, and client-focused Client Engagement Specialist (CES) to support our Sales Team and help create a smooth experience for prospective and new clients. The Client Engagement Specialist serves as the administrative and client engagement partner to the Sales Team by managing inbound leads, reconnecting with former clients, coordinating post-sale intake documentation, and serving as a communication bridge between Sales and Operations. This position is ideal for someone who is highly organized, communicates well, enjoys speaking with clients and families, and can confidently manage multiple priorities in a fast-paced healthcare environment.

Requirements

  • 2+ years of experience in healthcare, home care, medical office, intake coordination, sales support, or customer service
  • Strong organizational and time management skills
  • Excellent verbal and written communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Detail-oriented with strong follow-through
  • Proficiency with Microsoft Office, including Outlook, Excel, and Word
  • Ability to work collaboratively across multiple departments
  • This position requires Level 2 background screening through Florida's Care Provider Background Screening Clearinghouse.

  • Experience with CRM or EMR software preferred

Responsibilities

  • Manage and respond to inbound opportunities, including Facebook/Meta leads, A Place for Mom referrals, website inquiries, telephone inquiries, and other marketing campaigns
  • Respond promptly to new leads and conduct initial lead qualification
  • Maintain consistent follow-up with prospective clients
  • Document lead activity and track lead status and conversion
  • Ensure every lead receives timely and organized follow-up
  • Assist with scheduling in-home consultations for Account Executives
  • Build and manage reactivation call lists
  • Conduct outreach to former Private Duty and Part B Therapy clients
  • Document outreach results and follow-up activities
  • Schedule in-home consultations for Account Executives when appropriate
  • Track reactivation efforts and successful conversions
  • Enter new client information into AxisCare
  • Upload, organize, and verify required documentation
  • Track outstanding or missing documentation
  • Coordinate with Operations and Scheduling to obtain missing information
  • Resolve routine questions to minimize interruptions to Account Executives
  • Help ensure new admissions move efficiently through the intake process
  • Manage follow-up tasks and monitor admission progress
  • Support referral tracking and maintain accurate records within AxisCare
  • Serve as a communication link between Sales and Operations following in-home consultations
  • Answer questions from Scheduling and Operations regarding new admissions
  • Obtain clarification from Account Executives when needed
  • Help reduce unnecessary back-and-forth communication between departments
  • Support a smooth transition from sales through service delivery
