About The Position

The Client Care & Marketing Coordinator serves as the first impression of the branch and plays a key role in supporting branch growth, client engagement, and daily operations. This position is responsible for managing incoming client and lead communications, supporting Loan Officers, coordinating marketing activities, and ensuring an exceptional client experience throughout the mortgage process. The ideal candidate is organized, customer-focused, detail-oriented, and enjoys balancing administrative responsibilities with marketing and business development support.

Requirements

  • High School Diploma required
  • 1+ year of customer service, administrative, marketing, or related experience
  • Excellent verbal and written communication skills
  • Strong interpersonal and relationship-building abilities
  • Exceptional organizational and time-management skills
  • Ability to prioritize multiple tasks in a fast-paced environment
  • Proficiency with Microsoft Office Suite, CRM systems, and basic marketing platforms
  • Ability to work independently while supporting a team-oriented environment
  • Must be able to sit for extended periods and occasionally lift up to 15 lbs.

Nice To Haves

  • Associate's Degree preferred
  • Experience with social media, email marketing, event coordination, or customer outreach is preferred

Responsibilities

  • Answer and manage incoming phone calls, emails, and client inquiries
  • Set, confirm, and coordinate client appointments
  • Greet clients and collect necessary documentation
  • Follow up with new leads and assist potential clients with completing a mini-application
  • Assign and distribute leads to the appropriate Loan Officer
  • Provide updates and communications to clients and referral partners as directed
  • Deliver outstanding customer service and help create a positive client experience from initial contact through closing
  • Assist with the execution of branch marketing campaigns and promotional initiatives
  • Coordinate and assign appropriate CRM drip marketing campaigns
  • Maintain and update marketing databases, referral partner lists, and contact records
  • Assist with social media content, email marketing campaigns, and branch communications
  • Coordinate client appreciation events, referral partner events, open houses, and community outreach activities
  • Assist with creating and distributing marketing materials, flyers, invitations, and announcements
  • Track marketing activities and help ensure campaigns and events are completed on schedule
  • Support Loan Officers in maintaining relationships with clients and referral partners through consistent communication and follow-up
  • Ensure marketing materials and communications align with company branding and compliance requirements
  • Maintain lead logs and CRM records with accurate lead sources, notes, and communication history
  • Track and follow up on outstanding tasks for Loan Officers
  • Assist with light office management and clerical duties
  • Support credit repair referrals and guidance as needed
  • Maintain organized and compliant client files
  • Assist management with reporting, document management, and administrative projects
  • Support branch operations and identify opportunities to improve efficiency and client service
