About The Position

The Client Care & Intake Specialist is responsible for managing client intakes, collecting and recording information from potential clients, and opening cases in the case management software. This role involves sending and receiving retainer agreements for eligible clients, maintaining data integrity through precise data entry, and combining information from various systems. The specialist will also be responsible for regular attendance, following up on intakes, making outbound calls, and communicating with medical providers and clients regarding appointment availability and compliance. Consistent communication with clients and the legal team regarding appointments and case status is also a key part of this role.

Requirements

  • Understanding of general legal procedures and business practices
  • Standard clerical and general office administration procedures
  • Exceptional communication skills
  • Ability to work well under pressure and to exercise good judgment
  • Strong attention to detail
  • Strong working knowledge of MS Office Suite
  • Must work well in a team atmosphere
  • Ability to lift a minimum of twenty pounds
  • High School Diploma or GED required
  • Must type 45 wpm with accuracy

Nice To Haves

  • High volume phones, call center and/or law firm experience is preferred

Responsibilities

  • Create and field client intakes
  • Collect and record information from potential clients and open cases in case management software

  • Verify entered data by reviewing, correcting, deleting, or re-entering information
  • Combine data from multiple systems
  • Regular, consistent, punctual attendance
  • Follow-up on intakes (as needed)
  • Placing outbound calls
  • Contact with medical providers and clients regarding availability of doctor appointments
  • Follow up calls from medical providers when clients are non-compliant with appointments
  • Consistent and regular communications with clients regarding appointments
  • Consistent and regular communications with legal team regarding clients
