About The Position

The Client Care Coordinator (CCC) is the first point of contact for guests and members at Serotonin Centers, a premier anti-aging and wellness destination. This role ensures a seamless and welcoming experience by managing front desk operations, scheduling, and client engagement using a specific tech stack (Zenoti, GHL, email, and Teams). The CCC also supports sales and service excellence, acting as the center's concierge and operational anchor. Key duties include greeting clients, managing appointments, processing transactions, maintaining accurate records, and fostering a positive, professional environment. CCCs are crucial for client retention and satisfaction through exceptional service and support of team goals.

  • Proficiency in Zenoti and general business platforms.

  • Adherence to HIPAA and secure handling of client information.
  • Follow all safety protocols for front desk operations and client interactions.

Responsibilities

  • Manage front desk operations, including greeting clients, check-in/check-out processes, answering phones and emails.
  • Schedule and confirm appointments using Zenoti, maintaining real-time accuracy of calendars.
  • Provide information on services, memberships, and promotions, and answer client questions.
  • Promote memberships, retail products, and nutraceuticals.
  • Process payments accurately and reconcile daily transactions.
  • Track and follow up on membership renewals.
  • Maintain accurate client records in Zenoti and ensure data is audit-ready.
  • Adhere to HIPAA and biohazard protocols.
  • Participate in daily huddles, update trackers and whiteboards with goal vs. actual performance.
  • Support Health Coaches, Medical Practitioners, and Aestheticians by coordinating schedules and client flow.
  • Assist with in-center marketing initiatives and event preparation.
  • Engage with the local community through outreach and open houses.
