About The Position

The Global Education Administrative Coordinator (Clerk IV) provides administrative support for outreach, transcript and study abroad application processing, and front-line generalist advising for Global Education within the Office of Global Affairs (OGA). This role is crucial for managing study abroad fair logistics, coordinating marketing materials, serving as a primary point of contact for campus outreach, and assisting with transcript processing and application document management. The position also involves providing front-line advising support in the Global Education Advising Center, triaging requests, and offering general information to visitors, as well as functional supervision to student staff.

Requirements

  • High School diploma or equivalent
  • At least two (2) years of experience providing customer service or administrative support, preferably in an office setting.
  • Excellent attention to detail and organizational skills with the ability to balance competing projects and meet deadlines; demonstrated ability to adjust priorities quickly as circumstances dictate.
  • Strong analytical, problem-solving, and decision-making skills and the ability to use sound judgement and maintain confidentiality.
  • Excellent oral and written communication skills; the ability to communicate effectively with a diverse population of constituents.
  • Excellent interpersonal skills with the ability to establish and maintain cooperative working relationships with co-workers and the public.
  • Advanced ability to work efficiently with computer and data systems, and capacity to learn industry-specific software.

  • Familiarity with Via TRM and Navigate or equivalent software.

Responsibilities

  • Manages Study Abroad fair planning and logistics in collaboration with the Associate Director of Global Education; provides day-of-event support and tracks attendance.
  • Liaises with OGA’s Communication and Marketing Manager to achieve maximum visibility of OGA events; coordinates orders of branded marketing materials for the department.
  • Serves as the primary point of contact for general campus outreach for Global Education and provides administrative support for scheduling and events.
  • Represents the Office of Global Affairs at on-campus outreach events and coordinates staffing and materials for tabling, class visits, and other special events in collaboration with Global Education professional advising staff.
  • Assists the OGA Registrar with receipt, processing, and data entry of student transcripts from international partner institutions.
  • Processes application documents in study abroad applications including student conduct and course approval forms, and messages students to complete requirements.
  • Provides front-line generalist advising support in the Global Education Advising Center.
  • Triages requests and inquiries, provides general information to visitors, and connects visitors with the appropriate person or resource as needed.
  • Provides functional supervision to student staff working in the advising center.
  • Performs related duties as assigned or required to meet department, executive area/division and university goals.
