About The Position

This role supports multiple Senior Vice President Regional Managers overseeing more than 20 banking offices. The Administrative Coordinator performs a variety of complex and confidential administrative duties. Key responsibilities include preparing reports, managing system access and authority requests, assisting with salary recommendations, and handling sensitive customer issues and information.

Requirements

  • Associate's Degree or equivalent combination of training and experience.
  • 2-3 years of related job experience.
  • Strong customer service and interpersonal skills.
  • Proficient in written and verbal communications.
  • Self-starter with strong organizational skills.
  • Technologically proficient, particularly with MS Word, Excel, and Access.

Responsibilities

  • Prepare multiple weekly, monthly, and quarterly reports of regional sales and service activities.
  • Analyze information to identify trends and conduct research for areas needing further information.
  • Conduct research to resolve outstanding sales or service issues.
  • Analyze monthly budget reports to ensure branches are within annual requirements and present identified issues to senior management.
  • Bi-weekly review of eTime Manager to ensure non-exempt employee timecards are approved by the deadline and employees are authorized to sign off.
  • Maintain complex and detailed calendars.
  • Coordinate and manage logistics for internal and external meetings, including offsite conferences and external events.
  • Process invoices and expense claims for team members and prepare monthly expense reports.
  • Ensure all policies and guidelines are followed for expense processing.
  • Produce high-quality emails and messages for individuals at all organizational levels.
  • Handle regular activities independently and efficiently.
  • Assist in editing spreadsheets and presentations, including printing and binding for client meetings.
  • Collaborate with the administrative assistants' team to provide mutual support.
  • Lead and coordinate ad hoc projects as requested.
  • Prepare and submit Regional Human Resource/Technology paperwork for new hires, promotions, or transfers.
  • Assist in the preparation of regional employee salary recommendations.
  • Determine appropriate levels of authority based on position.
  • Prepare and submit required Human Resource, technology, wire, and signing authority documentation.
  • Maintain the regional staffing database and communicate staffing changes.
  • Conduct an extensive annual systems User Rights Review for all regional employees.
  • Prepare work schedules for all regional floating staff.
  • Assist regional managers in completing confidential salary recommendation worksheets during annual review cycles.
  • Act as a first line of contact for complex customer issues escalated from the branch level.
  • Research and prepare responses for customer issues escalated to the Office of the President within 24 hours.
