About The Position

As a Clerk I in the Ownership and GIS Mapping Division, you will utilize recorded conveyance documents to complete title research, make updates to property ownership and address information, or re-assign documents to other Assessor units for review. You will also utilize the Affidavit of Property Value to input sales information to be reported to the Department of Revenue and used for market modeling. You will work in a fast-paced setting while ensuring accurate information on the Assessor database.

Requirements

  • Two years of clerical experience working in an office environment
  • High School diploma or GED
  • An equivalent combination of post-secondary education and/or job-related experience may substitute for the minimum requirements on a year-for-year basis

Nice To Haves

  • Prior experience working with property deeds, legal descriptions, or title research is preferred

Responsibilities

  • Initiate the flow of information by reviewing documents from the Recorder’s office to determine the action needed and complete the transaction, or routing the document to another Assessor unit
  • Maintain accurate property ownership information by matching legal documents to Assessor parcel data, digital maps, and aerial photos, verifying both lot/block and basic metes/bounds legal descriptions to transfer or update ownership on the Assessor database
  • Determine missing or incomplete information by researching information on TitlePoint or the Recorder’s website. Maintain owner address information by transferring information from the Affidavit of Property Value or other recorded legal documents
  • Input data from the Affidavit of Property Value to create an electronic sales affidavit form used by CAMA, appraisers, and the Arizona Department of Revenue for valuation analysis
  • Contribute to customer satisfaction by answering taxpayer and/or title company inquiries regarding ownership and deed errors or discrepancies. Resolve transferred calls and inquiries from the call center or the Public Assistance Division
  • Support the overall functioning of the Deeds Processing Unit by taking part in cross-training and assisting with other functions as needed
  • Collaborate with other Ownership staff and Ownership supervisors to obtain additional or clarifying information, researching deeds to ensure adherence to policies and procedures
  • Complete all training opportunities as needed and execute daily tasks within various technological software
