About The Position

The Health Information Management Scanning Clerk is responsible for scanning and closing consultation reports, lab reports from non-interfaced labs, imaging studies from outside facilities, and other items as necessary. This position will also be responsible for data entry of non-interfaced lab data and other data entry as needed. The clerk will reconcile results, consultations, and studies with previously created orders and follow clinic procedures for unfulfilled labs, imaging studies, consultations, or procedures. A good keyboard speed and the ability to understand information quickly are essential. As The Wright Center (TWC) is a teaching facility, the position requires fostering and maintaining communication with administrative staff, residents, and attending physicians. Internal communications will be completed as indicated in the clinic policy and procedure manual. This role requires careful attention to detail when feeding medical information correctly. The position will perform other duties as assigned. This is a hybrid position requiring weekly in-office days at the Blakeslee practice.

Requirements

  • Meet The Wright Center for Community Health and its affiliated entity The Wright Center for Graduate Medical Education EOS© People Analyzer Tool Buy in and experience working in the EOS® model (strongly preferred)
  • Mission-oriented; represents the enterprise in a professional manner while demonstrating organizational pride
  • High School Diploma or GED
  • Certified Medical Assistant or Medical Technologist
  • 2-4 years’ experience in a medical facility environment
  • Previous experience with electronic health record preferably Medent
  • Working knowledge of medical procedures, terminology and billing
  • Experienced in electronic medical records, including data entry, creating reports, data analysis and daily auditing of provider performance
  • Understanding of HIPAA rules
  • Excellent verbal and oral communication skills
  • Ability to work in a team-based, high-intensity environment
  • Computer literacy
  • An ability to work with deadlines
  • Ability to work fast and detail oriented
  • Ability to multi-task

Responsibilities

  • Scanning and closing of consultation reports, lab reports from non-interfaced labs, imaging studies from outside facilities, and other items as necessary.
  • Data entry of non-interfaced lab data and other data entry as necessary.
  • Reconciling any and all results/consultations/studies with previously created orders.
  • Following clinic procedure/policy in instances of unfulfilled labs/imaging studies/consultations/procedures.
  • Fostering and maintaining communication with administrative staff, residents, and attending physicians.
  • Completing internal communications as indicated in the clinic policy and procedure manual.
  • Performing other duties as assigned.
  • Scanning of all lab tests, x-rays, H&Ps, ER records, consult letters, internal documents (e.g., consents, opioid and Coumadin contracts).
  • Attaching results to orders.
  • Closing referrals.
  • Routing documents to Physician and/or NP/PA.
  • Attaching labs to correct orders and digitally inputting lab values into a trackable field.
  • Listing open labs and addressing them in accord with WCPC policies and procedures.
  • Listing incomplete consultations, imaging studies, and other items as directed.
  • Verifying open/incomplete studies through direct patient/facility/referring physician contact in accord with WCPC policies and procedures.
  • Routing all reports to primary care provider in accordance with WCPC policies and procedures.
  • Requesting medical records from outside facilities in accordance with all HIPAA and Code of Federal Regulations Title 42 Part 2 (42 CFR Part 2).
