About The Position

The Clerical Supervisor is responsible for overseeing the daily operations of the clerical functions within the Health Information Department. This role ensures the timely processing, analysis, completion, scanning, storage, and release of medical records while maintaining compliance with organizational policies and regulatory requirements. The Clerical Supervisor provides leadership, training, and operational support to clerical staff to ensure departmental goals and productivity standards are achieved.

Responsibilities

  • Direct daily activities of clerical staff and ensure production goals are met.
  • Ensure departmental policies, procedures, and guidelines are followed.
  • Communicate updates, changes, and operational information to staff.
  • Provide training, coaching, feedback, and corrective action as needed.
  • Complete annual performance evaluations.
  • Ensure equipment and supplies are available for staff.
  • Explain and enforce hospital policies and procedures.
  • Create work schedules and monitor time and attendance records.
  • Maintain productivity records and prepare reports as requested.
  • Maintain knowledge of CMS Conditions of Participation, HIPAA, and DNV standards.
  • Monitor chart analysis task queues and incomplete chart reports.
  • Ensure charts are completed within established timeframes.
  • Assist patients with patient portal access and usage.
  • Cross-training all clerical department functions and provide support as needed.
  • Perform other duties as assigned.
