About The Position

Sinai Health is looking for a Clerical Coordinator, Reactivation Care Centre. The specialized 16-bed inpatient reactivation program is located on the UHN-RCC campus. The program is designed for individuals who present with decreased mobility, independence, and/or function as a result of an acute illness or surgery. The focus is on patients with potential for functional improvement, providing tailored care plans and utilizing state-of-the-art tools to support their recovery journey. Patients typically experience an average length of stay of 30 to 60 days. The role involves collaboration with a high-performing multi-disciplinary team including Registered Nurses, Registered Practical Nurses, Nurse Practitioner, OT, PT, SW, and SLP to provide high-quality and safe patient care.

Requirements

  • Successful completion of a college diploma, preferably in secretarial studies, from an accredited educational institution
  • 1 year of recent ward clerk, medical secretary or similar related experience
  • Demonstrated strong ability to coordinate patient flow on daily basis
  • Minimum 40 wpm keyboarding/data entry speed
  • Proficient in MS Office (Word, Excel, Access, Outlook)
  • Proven flexibility, initiative, organizational and problem solving/decision-making skills
  • Excellent communication and time management skills
  • Demonstrated ability to work cohesively and professionally as a team member; ability to function independently with minimal supervision
  • Skilled at setting priorities and handling multiple tasks simultaneously
  • Demonstrated proficiency in communication skills, both verbal and written
  • Demonstrated satisfactory work performance and attendance history

Nice To Haves

  • 1 year of experience in a surgical area and working with collective agreements
  • Knowledge of staff scheduling issues and human resources/payroll functions/responsibilities an asset

Responsibilities

  • Monitor and respond to general email and phone lines, fielding calls and directing requests and inquiries to the appropriate team members
  • Complete and provide Human Resources/Payroll with required paperwork (i.e. PAFs, weekly authorized timesheets, pay adjustment forms and other related information)
  • Consult with Human Resources/Payroll to resolve related employee concerns
  • Under the direction of the PCM, liaise with Occupational Health Wellness and Safety to process return to work paperwork
  • Maintain unit inventory and order medical/stationary supplies and equipment
  • Document staff nurse certification, BCLS, specialty certificates (NRP/ACLS), nursing education and e-learning according to established processes, under direction of PCM
  • Under direction of the PCM, prepare all unit correspondence (i.e. letters to staff, memos to other units/departments, meeting minutes) and compiles and analyzes staffing statistics as required
  • Maintain departmental files and update unit manuals under direction of the PCM
  • Support the PCM in hiring processes by helping to arrange orientation and work assignment
  • Prepare for approval by PCM, work schedules for Registered Nurses, Ward Clerks and Service Assistants according to applicable collective agreement provisions and unit/Hospital policies/guidelines
  • Incorporate into the schedule approved modified work requirements, approved vacation and leaves of absence
  • Provide support under the direction of PCM to maintain daily staffing/staff replacement
  • Monitor posted schedules to ensure compliance with collective agreements and Hospital policy; consults with PCM to resolve issues
  • Arrange office equipment repair and liaises with Building Services for routine maintenance and related issues
  • Perform other duties consistent with the job classification as required
