About The Position

The Clerical Assistant 3 position for the Pennsylvania State Police (PSP) is a fast-paced role focused on supporting essential legal processes and ensuring the accuracy of criminal history records across the Commonwealth. This role utilizes strong clerical and research skills, valuing organization, attention to detail, energy, commitment, and readiness. The core of the work involves reviewing and processing legal documents that shape criminal history records, ensuring information is accurate and compliant with state law. Duties include examining court orders, verifying criminal history information against court instructions, processing expungements and limited access orders, communicating with courts and legal partners, handling administrative tasks, and assisting with training new staff.

Requirements

  • One year as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or One year of moderately complex clerical experience; or An equivalent combination of experience and training.
  • At least two years of professional experience with Microsoft Office software.
  • At least two years of experience working with legal documents.
  • Ability to obtain and maintain an active Commonwealth Law Enforcement Assistance Network (CLEAN) certification issued by the Pennsylvania State Police within the probationary period and maintain the same for the duration of employment in this job.
  • Willingness to work onsite full-time.
  • Ability to perform essential job functions.
  • Pass a background investigation and meet Criminal Justice Information Services (CJIS) compliance requirements.
  • Pass criminal history and background investigations if you do not have a current Pennsylvania State Police background on file.

Responsibilities

  • Examine court orders and legal materials for accuracy and completeness.
  • Compare criminal history information to court instructions to locate and resolve differences.
  • Carry out actions required for expungements, limited access orders, and pardons.
  • Contact courts, attorneys, and law enforcement partners to confirm information.
  • Handle mail, phone calls, and other office needs to support daily operations.
  • Help orient new staff members at the direction of the supervisor.

Benefits

  • Selected candidates who are new to employment with the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $40,685.00 (before taxes).
