About The Position

The Claims Investigator / Drug & Alcohol Compliance Coordinator is responsible for investigating property damage, personal injury, accidents, incidents, and liability claims while ensuring compliance with DOT and non-DOT drug and alcohol regulations. This role requires strong investigative, analytical, communication, and organizational skills to evaluate claims, manage evidence, coordinate repairs, maintain records, prepare reports, and support Human Resources initiatives.

Requirements

Nice To Haves

  • Two or more years of claims investigation, claims adjusting, insurance, risk management, or related experience.
  • Experience negotiating settlements and resolving claims.
  • Knowledge of accident investigation procedures and evidence collection.
  • Familiarity with DOT and non-DOT drug and alcohol testing regulations.
  • Knowledge of the City of Tulsa is preferred.
  • Working knowledge of local, state, and federal safety regulations is preferred.
  • Having Smartsheet knowledge is a plus.
  • Familiarity with Title 49 CFR Part 40 (DOT procedures) and basic state tort and liability laws, preferred.
  • Ability to handle numerous activities at one time.
  • Must be able to work with no supervision.
  • May be required to lift or push 25 lbs.
  • Requires the ability to sit or stand for long periods.
  • Requires the ability to hear telephone and directions given and visually perform essential functions for satisfactory job performance.
  • Ability to view visual display terminals for extended periods.

Responsibilities

  • Investigate property damage, personal injury, accident, and liability claims.
  • Gather evidence, interview witnesses, analyze police/incident reports, and set financial reserves.
  • Review police reports, video footage, prior claims, and other documentation to assess incidents and damages.
  • Determine fault in auto, general, and commercial liability cases to accept or deny coverage.
  • Prepare detailed investigative reports documenting findings and recommendations.
  • Coordinate with mechanics, contractors, architects, and other professionals to facilitate repairs and claim resolution.
  • Consult with legal counsel as necessary.
  • Negotiate settlements and submit claim payments within established guidelines.
  • Negotiated settlements and coordinated reimbursement of Medicare and Medicaid liens when applicable.
  • Assist in the development, implementation, and monitoring of DOT and non-DOT drug and alcohol programs, policies, and procedures.
  • Oversee and maintain Random, Pre-Employment, Reasonable Suspicion, and Post-Accident testing logs.
  • Ensure random drug testing is conducted in compliance with applicable regulations across all workdays, shifts, and hours.
  • Monitor and verify completion of required testing logs and compliance documentation.
  • Stay current on regulatory changes, compliance requirements, and industry best practices.
  • Prepare, maintain, track, and submit required reports, including the annual MIS Report by March 15.
  • Retrieve video footage from buses and facilities for accidents, incidents, service quality, and liability investigations.
  • Remove and inspect electronic hard drives when necessary for video review.
  • Catalog, maintain, and securely store video evidence related to accidents, incidents, claims, and litigation.
  • Maintain strict confidentiality regarding investigations, employee incidents, disciplinary actions, and related records.
  • Manage document retention and records maintenance.
  • Support special projects and other assigned administrative duties.
  • Ensure compliance with company policies and procedures.
  • Assume additional responsibilities as directed or required.
  • Assist with new hire orientation and training programs.
  • Provide assistance to Human Resources leadership as needed.
  • Operate company vehicles safely and maintain an acceptable driving record.
  • Attend required onsite and offsite training.
  • Perform additional duties and special projects as assigned.
