About The Position

The Claims and Legal Operations Coordinator provides administrative and operational support across claims, litigation, and insurance workflows. This role focuses on tracking, documentation, coordination, and follow through to help ensure matters are organized and current. The role also supports Vice President, Associate General Counsel, Director, Claims and Legal Operations, and other members of the Legal Department.

Requirements

  • Associate's degree.
  • Strong organizational, tracking, and documentation skills.
  • Ability to manage confidential and sensitive information.
  • Ability to work collaboratively as part of a team.
  • Proficiency with Microsoft Office and document management tools

Nice To Haves

  • Bachelor's degree.
  • 2–5 years of experience in legal administration, claims support, compliance coordination, or equivalent operational/administrative experience in a regulated environment.
  • Experience in healthcare, insurance, or other regulated environments.

Responsibilities

  • Support the opening and setup of new claims and legal matters.
  • Prepare and submit Loss Advice Forms (LAFs) to carriers.
  • Maintain claims logs, trackers, and designated document repositories.
  • Organize and manage claims correspondence and matter files.
  • Support matter close outs and file retention activities.
  • Help ensure claim and matter records remain accurate and up to date.
  • Track litigation deadlines and key dates.
  • Maintain discovery and document production trackers.
  • Assist with document collection, organization, and production support.
  • Support litigation hold memoranda documentation and tracking.
  • Track professional and business license renewals.
  • Assist with entity filings and corporate records organization.
  • Organize regulatory compliance documentation for internal and external needs.
  • Coordinate inbound legal mail and service of process intake and routing.
  • Assist with legal invoice intake and routing.
  • Update matter records, dashboards, and required fields in tracking systems.
  • Maintain organized electronic files.
  • Support standard reporting and information requests by maintaining accurate matter data and documentation.
  • Other duties as assigned.
