About The Position

The Legal Coordinator, Legal and Corporate Affairs, is a vital and highly organized role responsible for providing comprehensive administrative support to a large group of LCA team members. This position involves independently managing key departmental activities such as document preparation, calendar management, and coordinating meetings, travel, and office operations. The ideal candidate is a proactive and detail-oriented communicator capable of managing multiple priorities in a dynamic environment.

Requirements

  • 5+ years in an administrative role (corporate or legal environment preferred)
  • College diploma in administrative or paralegal studies
  • Exceptional written and verbal skills, with a talent for building strong relationships across all levels of the organization.
  • Proven ability to manage priorities, meet deadlines, and handle complex logistics in a fast-paced environment.
  • High level of discretion and integrity when managing confidential information.
  • Strong proficiency in Google Suite with a quick ability to master new technologies.
  • Proactive, resourceful, and detail-oriented, with the flexibility to adapt to changing needs.
  • Must be authorized to work in the country where this position is located.

Responsibilities

  • Prepare, edit, blackline, and format various LCA documents, including contracts (using DocuSign and other tools as required), presentations, reports, spreadsheets, org charts and internal communications, ensuring accuracy and professional presentation.
  • Proactively manage complex calendars, schedule meetings and appointments, and coordinate logistics to optimize time for team members.
  • Organize and coordinate various meetings (e.g., team meetings, project reviews, town halls), including preparing agendas, liaising with presenters, gathering necessary documents, and arranging technology (e.g., video conferencing).
  • Coordinate domestic and international travel arrangements, including flights, accommodation, and ground transportation. Prepare and submit accurate and timely expense reports.
  • Act as a primary point of contact, managing email correspondence, drafting professional communications, and providing information or redirecting inquiries as appropriate.
  • Assist with general office administrative tasks, including ordering supplies, managing invoices, coordinating storage and recall of LCA documents with offsite storage company, arranging facility requests, ensuring team members have required technology, and supporting new employee onboarding.
  • Centralize policy documentation, facilitate the review, approval and translation workflow for policy owners, and ensure that the latest versions are posted on the internal MyTMX intranet.
  • Maintain internal knowledge management repositories ensuring that they are kept current and proactively identifying gaps and opportunities to expand these resources.
  • Support project and contract management activities by managing logistics, ensuring version control on documentation, coordinating stakeholders and proactively tracking tasks and deadlines to maintain organizational compliance and operational efficiency.
  • Responsible for end-to-end event management of team functions, town halls and other onsite events at the various TMX Canadian locations.
  • Foster a collaborative environment by assisting team members with administrative tasks, providing backup support when team members are absent, and contributing to special projects as needed.
  • Perform other related administrative duties as assigned by the leadership team.
