About The Position

This is a specialized Child Protective Services Case Aide position within the Office of Child and Family Services – Child Welfare division. The role is crucial for the health and wellbeing of children served by the department. The position involves assisting in gathering and reviewing health records, child welfare reports, and Health Info Net data, as well as subsequent data entry, analysis, and uploading to the electronic information system. Responsibilities include tracking and reporting of health records, communication with medical office personnel and child welfare staff, assisting in tracking and filing informed consent forms, and tracking and responding to psychotropic medication review requests. The position is part of a team dynamic focused on assisting, informing, and interacting with OCFS staff, resource parents, and medical providers. A successful candidate will possess strong interpersonal, organizational, and computer skills.

Requirements

  • Training, education, or experience in office and client support work demonstrating competency in applying a proficient knowledge of the principles and practices in assisting management with policies and procedures
  • Ability to use independent judgment, initiative, and decision-making on complex administrative and direct service activities
  • Possession of a valid Class C Maine Motor Vehicle Operator's License

Nice To Haves

  • Prior experience with medical records or work in the medical or mental health field.
  • Skilled in the use of standard work-place applications (MS Word, EXCEL, Outlook, etc.).

Responsibilities

  • Assisting in gathering health records for children in custody of the Department
  • Reviewing health records, child welfare reports, Health Info Net, and assisting with subsequent data entry, analysis, and uploading to the electronic information system.
  • Tracking and reporting of health records and information gathered
  • Communication and collaboration with medical office personnel and child welfare staff
  • Assisting in tracking, documenting and electronic filing of informed consent forms
  • Tracking and responding to psychotropic medication review requests
  • All other tasks, projects, and duties as assigned
