About The Position

The Child Care Registrar is responsible for ensuring YMCA BC’s licensed care spaces are fully enrolled. This includes managing the waitlists for 150+ programs, responding to parent inquiries, and working collaboratively with the operations team. The role supports registration for all School Age, Learning and Winter, Spring and Summer Break programs across all YMCA BC Child Care regions. The registrar will maintain and update centre enrollments, child care waitlist and reporting as required, and maintain timely communication between parents, centre supervisors & management teams. This role involves monitoring phone lines, responding to a high volume of email inquiries, and providing administrative support for the development of new child care facilities. Additional duties include supporting day-to-day administrative tasks such as collecting accounts receivable, data entry, and filing. The position requires commitment and focused attention to ensure child care meets association commitments and targets while ensuring all programs operate at maximum capacity. The role also requires flexibility to a changing work environment and performing other related duties as required.

Requirements

  • A minimum of 1 years’ experience in an administrative assistant or relevant role
  • Proven track record in effectively navigating and utilizing databases
  • Demonstrate a high level of organizational and administrative skills
  • Exhibit exceptional customer service skills coupled with cultural sensitivity
  • Excel in maintaining process and detail orientation while adeptly managing multiple tasks
  • Proficient in utilizing Microsoft Office tools such as Excel, Word, and Outlook
  • Demonstrate excellent verbal and written communication skills
  • Capable of working both independently and collaboratively in a team environment
  • Proactively take initiative and manage time effectively in a fast- paced, dynamic setting
  • Prioritize workload with precision, showcasing impeccable organizational skills and attention to detail
  • Possess analytical and problem-solving acumen
  • Successful candidate will be required to provide 3 satisfactory references
  • Successful candidates will be required to provide a current and satisfactory Criminal Record check with a Vulnerable sector search issued no later than six (6) months preceding the start date.

Responsibilities

  • To support registration for all School Age, Learning and Winter, Spring and Summer Break programs across all YMCA BC Child Care regions
  • To maintain and update centre enrollments, child care waitlist and reporting as required
  • To maintain timely communication between parents, centre supervisors & management teams

  • To provide admin support for the development of new child care facilities
  • Support other administrative day-to-day tasks as required by the Coordinator such a collecting accounts receivable, data entry, filing, etc.
  • To perform other related duties as required and be flexible to a changing work environment
