About The Position

The Child Care Programs and Services Coordinator will provide high-level administrative and operational support across multiple programs within the department. This role is responsible for managing day-to-day coordination activities, including scheduling, communications, document preparation, and event logistics. The Coordinator plays a key role in ensuring efficient workflows, tracking priorities and deliverables, and maintaining organized systems that support team effectiveness. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while supporting both internal teams and external partners in a fast-paced, collaborative environment.

Requirements

  • Working knowledge of administrative and office coordination practices, including scheduling, document management, and logistics planning
  • Strong organizational skills with exceptional attention to detail and ability to manage multiple tasks and deadlines simultaneously
  • Ability to track, prioritize, and follow through on a high volume of tasks across multiple projects and team members
  • Proficiency in standard office software (e.g., Microsoft Office, Google Workspace) and ability to learn new data systems, databases, and project management tools
  • Comfort working with spreadsheets, tracking tools, and data entry with a high degree of accuracy
  • Effective written and verbal communication skills, including the ability to draft clear emails, prepare materials, and communicate professionally with internal and external stakeholders
  • Strong interpersonal skills with the ability to build positive working relationships and support team collaboration
  • Demonstrated ability to coordinate logistics for meetings, trainings, and events, including managing multiple moving parts and timelines
  • High school diploma or equivalent required
  • Minimum 3 years of relevant experience in an administrative, coordination, or operations support role
  • Experience supporting multiple projects, programs, or team members simultaneously
  • Experience coordinating meetings, events, or logistics
  • Proficiency in Microsoft Office and Google Workspace with the ability to learn new systems, databases, and project management tools (e.g. Smartsheet, Fathom, etc.)
  • Strong written and verbal communication skills, including the ability to draft clear and professional correspondence and review/edit written communications across multiple channels (e.g. email, virtual meetings, shared platforms, etc.), as well as ability to follow directions and ask clarifying questions as needed
  • Deep understanding of and commitment to diversity, equity, inclusion, and belonging, particularly in serving children, families, and communities

Nice To Haves

  • General familiarity with early childhood programs, nonprofit operations, or human services systems preferred, but not required
  • Associate’s degree or higher in education or a related field preferred

Responsibilities

  • Provide day-to-day administrative support to department leadership, including calendar management, meeting coordination, and document preparation
  • Draft, format, and proofread correspondence, reports, and internal materials to ensure clarity and consistency
  • Maintain organized systems for files, records, and shared resources across programs
  • Support tracking of tasks, deadlines, and deliverables to ensure timely completion of department priorities
  • Plan and coordinate logistics for meetings, trainings, and events (virtual and in-person), including scheduling, registration, materials, and follow-up
  • Prepare agendas, take notes, and document key decisions and action items
  • Manage event-related communications and ensure all logistical details are executed smoothly
  • Facilitate communication within the team and with external partners by managing shared inboxes, responding to inquiries, and routing requests appropriately
  • Support development and distribution of communications, including emails, updates, and resource materials
  • Coordinate information flow to ensure team members have timely and accurate updates
  • Assist department leadership with compiling reports
  • Coordinate purchasing of supplies, materials, and services in alignment with organizational procedures
  • Maintain records related to program expenses and resource allocation
  • Provide flexible, responsive support across multiple programs based on evolving needs and priorities
  • Assist with special projects, pilot initiatives, or new processes as assigned
  • Identify opportunities to improve workflows, organization, and team efficiency
