About The Position

This position provides administrative support for a child care program, focusing on program compliance, communication, record administration, office technology, problem-solving, work coordination, and budgeting. The role involves maintaining accurate records of enrolled children, managing communications with parents and staff, ensuring compliance with regulations, managing office technology, ordering supplies, assisting with student employee processes, and handling financial tasks such as billing and record-keeping.

Requirements

  • Graduation from high school or an equivalent combination of education and experience.
  • Ability to maintain accurate records on children enrolled in the program (development, attendance, immunization, general health).
  • Ability to conduct program registration and maintain files and waiting lists.
  • Effective communication skills with parents, staff, licensing, and children.
  • Proficiency in generating and processing enrollment packets, including contracts and payroll deduction authorizations.
  • Detail-oriented approach to completing and submitting DCDEE required paperwork and record-keeping.
  • Ability to manage student timekeeping systems.
  • Skills in maintaining website and social media sites.
  • Problem-solving abilities to ensure smooth program operation.
  • Inventory management skills for childcare supplies and equipment.
  • Ability to provide feedback on quality control and assist in resolving issues.
  • Willingness to accept temporary work assignments.
  • Ability to process work orders for the Center.
  • Skills in assisting with student employee scheduling, recruitment, interviews, hiring, and orientation.
  • Ability to organize and follow up on special activities.
  • Assistance in preparing and presenting early childhood programs, activities, and accreditation.
  • Ability to generate bills for children based on fee rates.
  • Proficiency in recording childcare fee receipts and facilitating deposits.
  • Ability to maintain financial records for each child and prepare statements.
  • Skills in processing accounts payable for the Center.
  • Ability to oversee monthly P-card reconciliation.

Nice To Haves

  • 3 years of relevant experience in child care, administration, leadership, or management.
  • Must hold, or be able to obtain, a Level 2 NC Administration Credential or higher.
  • Bachelor’s degree in early childhood education or a related field.
  • Level #3 NC Administration Credential.
  • Master’s degree in early childhood education.

Responsibilities

  • Maintain accurate records on children enrolled in the program, including their development, attendance, immunization, and general health.
  • Conduct program registration and maintain appropriate files and waiting lists.
  • Communicate effectively with parents, all staff, licensing, and children, providing outstanding customer service.
  • Assist with enrollment inquiries, follow-up, and program tours to increase enrollment.
  • Generate and process enrollment packets for new families, including contracts and payroll deduction authorizations.
  • Complete and submit DCDEE required paperwork and record-keeping in a timely and organized manner.
  • Manage the student timekeeping system and related processes.
  • Maintain the program's website and social media sites.
  • Work with the Director on policies or procedures to ensure smooth program operation.
  • Keep the Director informed of staff concerns and situations needing attention.
  • Order and maintain inventory of childcare supplies and equipment.
  • Provide feedback to the Director on quality control issues and assist in resolving them.
  • Accept temporary work assignments when regularly scheduled personnel are unavailable.
  • Assist in processing work orders for the Center.
  • Assist with student employee scheduling, recruitment efforts, interviews, and the hiring and orientation process.
  • Direct the organization and follow-up of special activities such as library readers.
  • Assist child care center staff in preparing for and presenting early childhood programs, activities, and accreditation.
  • Generate bills for each child based on the appropriate child care fee rate.
  • Record all childcare fee receipts and facilitate deposits.
  • Maintain financial records for each child and prepare statements for late payments.
  • Assist in processing accounts payable for the Center.
  • Oversee completion of monthly P-card reconciliation.
  • Perform other duties as assigned by the Director.
