About The Position

Add financial depth to the organization and support Fund Control President/Manager. This role involves creating the yearly Annual Operating Plan, preparing and analyzing monthly financial statements, reconciling general ledger accounts, and monitoring bank balances. The Chief Business Officer will also serve as a liaison with external auditors and state officials, manage trust balances to maximize earnings, and handle the escheatment of unclaimed funds. Additionally, this position is responsible for setting pricing on all products and services, maintaining service quality through procedures and employee management, and conducting department meetings. The role also involves legal liaison, approving disbursements, reviewing corporate approval packages, and collaborating with IT on system enhancements. Process management, fee negotiation, and quality control are key aspects, along with supervising staff and assisting with business proposals. Analyzing problem accounts, resolving customer issues, and ensuring customer service improvement are also critical. The Chief Business Officer will set up cross-training for positions, approve new agreements, and work with outside counsel for exceptions. Finally, this role includes approving timesheets, payroll, and managing scheduling.

Requirements

  • B.S. Accounting
  • Two years’ work experience preparing financial statements
  • Management experience
  • Registration with the Department of Corporations
  • Must be able to pass FBI background check in order to be bonded by Escrow Agents Fidelity Corporation

Responsibilities

  • Create yearly Annual Operating Plan and report annually to the Department of Business Oversight.
  • Prepare and analyze monthly financial statements and upload results to the Corporate office.
  • Reconcile all general ledger accounts and approve all A/P disbursements.
  • Monitor bank balances daily and transfer funds accordingly and approve all bank account reconciliations monthly.
  • Liaison with annual external CPA audit firm, State auditor, and Corporate Treasurer.
  • Monitor daily trust balances and move monies accordingly to maximize earnings credits.
  • Responsible to escheat unclaimed funds to the State of California.
  • Set pricing on all products and services provided by Fund Control.
  • Maintain integrity and quality of service through procedures, employee selection, training, evaluation, and courteous service.
  • Conduct department meetings to provide direction and training as well as exchange of ideas.
  • Involvement in any legal questions and representative of Fund Control when deposed as a witness for records and court events.
  • Approve daily outgoing wires, ACH payments, and high-dollar disbursements – authorized check signer for all Fund Control accounts.
  • Review and provide all corporate approval packages to the Treasury Department.
  • Liaison with IT for website and AS400 Enhancements and Workflow project.
  • Process management, fee negotiation, quality control inspection program.
  • Supervise processors, administrative assistant, and accountant and guide New Account Specialist.
  • Assist with creating Business Proposals for new, larger accounts.
  • Analyze problem accounts to resolve customer problems and continue to achieve improvement to customer service by recognizing customer needs.
  • Set up cross training of fund control positions to assure coverage during absences/vacations.
  • Approve and sign all new Fund Control Agreements as well as release operating system from “hold” status upon corporate approval.
  • Work with outside counsel to approve agreements when exceptions exist.
  • Approve timesheets, vacation requests, payroll, and set all scheduling.
