About The Position

A Certified Medical Assistant (CMA) aids nursing staff and Psychiatrists/Nurse Practitioners in providing medication management services. This role involves taking client vitals, preparing clients for appointments, taking medical histories, and assisting with medical forms. The CMA will also handle phone calls for medication providers and nursing staff, ensuring a high level of quality service. A key responsibility is entering and validating data in the Electronic Health Record (EHR) and other systems, scheduling appointments, and processing medical records requests while maintaining HIPAA standards. The role requires timely submission of progress notes, billing information, and medical claim forms, as well as maintaining client confidentiality. The CMA will also assist with discharging clients and ensuring the proper utilization of supplies and resources.

Requirements

  • High School graduate or equivalent
  • At least one-year experience in data entry, customer service, or medical front office
  • CMA license
  • Proficient in Microsoft Office including Word, Excel, and Outlook
  • Maintains acceptable overall attendance record, to include department staff meetings, agency meetings, and training as required.
  • Ensures appropriate notification to supervisor for absences and ensures that work is covered.
  • Exhibits appropriate level of technical knowledge for the position.
  • Produces quantity of work necessary to meet job requirements.
  • Works well with a team, keeps others informed of information needed. Treats others with respect, maintaining a spirit of cooperation.

Responsibilities

  • Schedules client appointments.

  • Attends and participates in meetings and is responsible for all information communicated at meetings.
  • Actively participates in and encourages actions that promote good public relations with clients, families, and the community.
  • Ensures proper utilization of supplies and resources.
  • Obtains clients’ vital signs and administers injections to clients and enters results into EHR.
  • Submits medical claim forms in a timely manner to assist clients and providers.
  • Assists with discharging medication management clients.
  • Oversees the processing of medical records requests, insuring HIPPA standards are maintained, and requests are handled timely.
  • Meets deadlines and ensures accuracy of various report/paperwork, mileage records, and electronic timesheets.
  • Submits required progress notes/billing information in a timely manner as per agency and insurance guidelines and contracts.
  • Maintains confidentiality of records relating to clients treatment.
