About The Position

The Catering Sales Manager is responsible for assisting in booking and finalizing catering contracts, upselling food, beverage, and space requirements to maximize revenues, and maintaining effective communication through telephone and written correspondence. This role involves communicating contract requirements and last-minute requests to appropriate hotel departments, ensuring proper problem-solving, and reviewing/modifying catering summaries and activity planners. The manager must ensure daily maintenance of incoming contracts, follow up on all inquiries for maximum bookings, and be familiar with all procedures in the Catering Office. Additionally, the role requires ensuring proper billing and credit approval procedures are completed, company guarantees are met 72 hours prior to events, and conducting follow-up calls to ensure guest satisfaction. The Catering office must not be left unattended during operating hours, Monday through Saturday from 8:30 am to 5:30 pm. The manager will also be responsible for detailing room setup, food & beverage, and audio-visual requirements on contract sales agreements, and performing other miscellaneous duties as required.

Responsibilities

  • Assist in booking and finalizing catering contracts.

  • Communicate Catering Contracts requirements and last-minute requests or concerns to the appropriate departments throughout the hotel.
  • Ensure proper problem-solving skills are practiced.
  • Review and modify the “Weekly Catering Summary”.
  • Complete Weekly Catering Activity Planner.
  • Ensure any incoming contracts are maintained on a daily basis.
  • Follow up on all inquiries to ensure maximum bookings.
  • Familiarize with all responsibilities and procedures in the Catering Office.
  • Ensure all proper procedures for billing and credit approval are completed.
  • Ensure that all company guarantees are completed 72 hours prior to their meeting or function.
  • Complete a follow-up call on bookings to ensure total guest satisfaction.
  • Ensure the Catering office is never left unattended during operating hours.
  • Fully detail all Room Set Up, Food & Beverage and Audio-Visual Requirements on contract Sales Agreements.
  • Perform any other miscellaneous duties as required.
