Job Description This position is responsible for providing planning assistance and advice to all ChampionsGate clients and members, as well as providing that information to partnering departments to ensure successful follow-through with clients’ wishes and plans. Responsible for managing all aspects of local catering events once the file has been turned over by the Catering Sales Manager. To merchandise as skillfully as possible the hotel function space in order to maximize revenue potential for the hotel and to ensure that the customer has the best possible meeting experience .

Requirements

Minimum three years planning experience, preferably in a hotel or resort.
Must have working knowledge of Excel, Word, Outlook, PowerPoint.
Must be organized and detail oriented with ability to multitask.
Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position.
Employees with irregular attendance will be subject to disciplinary action, up to and including termination of employment.
Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel.
In addition, attendance at all scheduled training sessions and meetings is required.
Upon employment, all employees are required to fully comply with Omni rules and regulations for the safe and effective operation of the hotel’s facilities.
Is fully aware of all corporate sponsored promotions.
Develop and implement individual Quarterly and annual Action Plans (KRA's).
Submit required reports on a timely basis.

Nice To Haves

College degree preferred; work experience can substitute for education.
Delphi experience is also a plus.

Responsibilities

Coordinate a detailed schedule of programs to include the following: meeting set-up, audio/ visual requirements, room reservations, airport pickups, recreational activities, food & beverage and special functions.
Lead client through all aspects of planning resulting in a complete, detailed program.
Act as Omni Champions Gate’s liaison between client and staff.
Recommend full usage of facility services to client.
CSMs must be up to date on current pricing and operational procedures.
Prepare detailed coordination sheets for use by client and operational staff.
Prepares program budgets as requested.
Remains up to date on "things to do" in Orlando.
Research and books client entertainment.
Prepares detailed meeting room and function room diagrams for operational areas.
Responsible for distributing agendas to both Convention Services and Catering teams.
Coordinates and books tee times for all four courses for our groups.
Manages group sleeping room inventory.
Attend weekly SWP meeting to discuss upcoming programs with Department Heads.
Monitor client's program while on property to ensure a well-run meeting.
Tracks daily progress and relates any changes to the group's agenda to appropriate departments.
Ask for repeat business and referrals for follow-up by the sales team.
Attend weekly Group Pickup with Director of Sales, and Director of Revenue Management.
Attend department meetings and other company required trainings.
Complete other duties as assigned by management.
Communicate event details to operating departments and customers in a timely and thorough manner following established procedures.
Coordinate menu tastings with customers adhering to established procedures
Participate in site inspections to assist Catering Sales Managers in selling process
Effectively utilize existing hotel software systems to manage time, event details, and for communication
Coordinate menus, room set ups, audio visual needs, parking, and other essential activities related to producing a successful event.
Achieve all revenue and Medallia goals as assigned by the Director of Catering and Convention Services.
Must be knowledgeable about all hotel (and competitive set hotels) capabilities (front desk/reservations/room service/catering).
Merchandise function space and attain maximum room rental wherever appropriate.
Understand and follow all guidelines relating to catering merchandising, space release and “free sell” opportunities.
Continuously refine product/concept offering.
Active involvement in industry-related activities.
Achieve budgeted banquet & catering revenue goals.
Provide support and direction to Administrative staff
