About The Position

KSA Integration is a Service-Disabled Veteran-Owned Small Business (SDVOSB) that provides business and management solutions through two core portfolios: (1) Warrior Readiness, and (2) Warrior Care. We are a rapidly growing government contractor that has built a reputation for focused customer service, on-time performance, and continuous improvement. This position supports the OHARNG Medical Case Management Services as a Case Manager, including Mobilization Support. KSA Integration LLC provides non-clinical medical case management support to sustain Individual Medical Readiness for approximately 9,549 Ohio Army National Guard Soldiers across six brigades, working in the Army systems of record (MEDPROS, MODS, eCase, MEDCHART, and the Health Readiness Record). Case Managers are the core of the team. Each one carries a caseload of Soldiers and keeps their medical readiness current: processing medical data, scheduling and tracking appointments, and closing every loop so no case stalls and no readiness data is lost. Case Managers also support mobilizing units, compressing time-to-readiness before a unit deploys. This Position is Contingent Upon Award.

Requirements

  • One or more years of case management, care coordination, medical records, or military medical readiness experience.
  • Ability to manage a high-volume caseload and drive items to closure without being reminded.
  • Comfort working directly with Soldiers, unit leaders, and medical providers by phone and email.
  • U.S. citizenship and ability to obtain and keep a Common Access Card (CAC), including a favorably adjudicated Tier 1 (or higher) background investigation.
  • Ability to complete all required Government training within phase-in timelines, including JKO modules (DHA-US298 Medical Readiness Portal, DHA-US299 Administrative Portal, DHA-US001 HIPAA), AT Level 1, OPSEC Level 1, PII, CUI, iWATCH, TARP, MHS Genesis, and Combating Trafficking in Persons.
  • Ability to handle Protected Health Information and PII correctly under HIPAA and the Privacy Act, every day and without exception.
  • Strong attention to detail, accurate data entry, and clear written and spoken communication.
  • Proficiency with Microsoft Office and the ability to learn Army medical readiness systems quickly.

Nice To Haves

  • Experience in MEDPROS, MODS, eCase, MEDCHART, or HRR.
  • Prior military service, National Guard service, or military family background.
  • Call center, scheduling, or high-volume coordination experience.

Responsibilities

  • Process all medical data in compliance with HIPAA; maintain active daily use of MEDPROS, MODS, eCase, MEDCHART, and the HRR (PWS 5.1.1).
  • Run recurring cross-system reconciliation: find mismatches, fix them, and flag cases that cannot be reconciled.
  • Obtain, process, and maintain Release of Information requests, including the 30-day provider follow-up (PWS 5.1.2).
  • Track, schedule, and manage Soldier medical and dental appointments to closure: confirm, remind, recover no-shows, capture results, and update the systems of record (PWS 5.1.5).
  • Conduct medical pre-screens and process initial documentation for mobilizing Soldiers during SRP events (PWS 5.1.4).
  • Deliver compliance tracking updates to Battalion, Brigade, and State Surgeon's Office personnel (PWS 5.1.6).
  • Prepare case status reports for bi-monthly case reviews and feed the monthly metrics report (PWS 5.1.3, 5.1.7).
  • For mobilizing units: track Soldiers before and after mobilization and prioritize the actions that gate deployability.
