About The Position

The Case Manager will play a pivotal role in managing legal cases from initiation through to resolution. You will work closely with attorneys, clients, and external parties to ensure efficient case management, maintain client communication, and keep all parties informed of the case’s progress. This position requires strong multitasking abilities, excellent communication skills, and a thorough understanding of legal processes.

Requirements

  • 5+ years of experience in a legal environment, preferably in case management, legal assistance, or paralegal roles.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in legal case management software.
  • Attention to detail and ability to manage multiple cases simultaneously.
  • Ability to work both independently and as part of a team.
  • Must be able to communicate clearly and effectively, both verbally and in writing.
  • Ability to speak and listen on the phone for extended periods.
  • Ability to read and interpret documents, both in print and on a computer screen.
  • Visual acuity for reviewing detailed information in client files and performing data entry.
  • Ability to hear and understand conversations over the phone and in-person.
  • Adequate hearing to comprehend and respond to client inquiries effectively.
  • Ability to sit for prolonged periods, typically at a desk or workstation.
  • Frequent sitting while conducting phone communications and data entry.
  • Ability to use hands and fingers to operate a computer keyboard, mouse, phone, and other office equipment.
  • Fine motor skills for handling documents, scanning, and organizing files.
  • Ability to move within the office to access file cabinets, office equipment, and other necessary work areas.
  • Occasional walking and standing as needed.
  • Ability to lift and carry objects such as files, documents, or office supplies, typically up to 10 pounds.

  • Capacity to maintain professionalism and composure while communicating with clients.
  • Frequent and extended use of a computer for tasks such as typing, data entry, document management, and research.

  • Bachelor’s degree or paralegal certification preferred, but not required with equivalent experience.

Responsibilities

  • Oversee the progression of legal cases from inception to closure, ensuring that all legal procedures and deadlines are adhered to.
  • Organize, maintain, and retrieve case-related documents, including pleadings, discovery materials, and correspondence. Ensure proper filing in both physical and electronic formats.
  • Prepare comprehensive demand letters that clearly outline the case facts, applicable laws, and specific relief sought, ensuring clarity, precision, and legal compliance. Conduct thorough research to support demand content, including case law, statutes, and relevant regulations. Work closely with attorneys and team members to gather necessary information and insights, while liaising with clients to explain the demand process and ensure their understanding. Proofread and edit demand letters for accuracy and consistency before submission. Maintain organized records of all demands issued, monitor their status, and provide updates to the legal team to ensure timely responses and resolutions.
  • Serve as the primary point of contact for clients, providing updates, answering queries, and ensuring client satisfaction throughout the case lifecycle.
  • Coordinate case-related activities, such as court appearances, depositions, and meetings. Ensure that all parties are aware of deadlines and appointments.
  • Assist attorneys in preparing legal documents, conducting research, and organizing case files for hearings and trials.
  • Maintain accurate records of case details, correspondence, and documentation using case management software.
  • Track billable hours and case expenses and assist with preparing client invoices and tracking payments.
  • Liaise with courts, opposing counsel, experts, and other third parties involved in legal cases to facilitate case progression.
  • Adhere to all legal and ethical standards regarding client confidentiality and information handling. Ensure compliance with relevant laws, regulations, and firm policies throughout the pre-litigation and/or litigation process.
  • Proactively identify opportunities for process improvement and efficiency enhancement within the pre-litigation and/or litigation workflow. Participate in training sessions and professional development activities to enhance job skills and knowledge.
