About The Position

The Case Coordinator Assistant supports the Emergency Assistance (EA) ministry by assisting EA staff with administrative tasks. This includes responding to emails from individuals and agency referrals seeking emergency financial services, and helping applicants complete applications accurately and promptly. The role also involves providing referrals to internal and external services, researching community resources, maintaining client files and databases, and collaborating with case managers to identify applicant needs. Additionally, the assistant will respond to inquiries, manage autoreplies for EA Partner referrals, and provide administrative support to the Program Director for budget, client assistance, and vendor payments.

Requirements

  • Able to multi-task in a fast-paced work environment.
  • Effective listening, written and oral communication skills in English.
  • Ability to adapt communication methods to meet cultural preferences with sensitivity.
  • Ability to work in a team setting and independently with minimal supervision.
  • Ability to learn new tasks and procedures, comply with processes, complete tasks independently, make timely decisions in the context of a workflow.
  • Fluency in Microsoft Office (Excel, Word, Outlook) and other relevant web and software applications.
  • Experience with database data entry required.

Nice To Haves

  • Bilingual in written and spoken Spanish preferred.
  • Associate's degree with at least 1-year experience in the provision of human services is preferred.
  • Experience assisting underserved populations preferred.
  • Experience working with volunteers preferred.

Responsibilities

  • Provide referrals and weblinks for applicants to access services within CCDA programs or externally for housing, employment, and other basic needs.
  • Research new community resources and maintain up-to-date referral resources for the ministry.
  • Maintain up-to-date and accurate client files and databases in alignment with Agency and Ministry standards.
  • Work collaboratively with case managers and collateral contacts in identifying needed resources for applicants.
  • Assist EA case coordinators with responding to inquiries and ineligible applicants in alignment with Ministry standards.
  • Update EA Partner referral autoreplies.
  • Provide direct support to Program Director for budget, client assistance and vendor payment administration.
  • Willing to travel within the Diocese of Arlington as needed.
  • Willing to uphold Catholic social teaching in the workplace.
  • Assist with client events and community outreach.
  • Other job-related duties as assigned.
