About The Position

University of Pennsylvania Career Services, positioned within the division of University Life, is seeking an Administrative Coordinator to support both the employer relations and undergraduate advising teams. The Coordinator will provide logistical support for events including career fairs, workshops, and meetings; will source and market career opportunities for students (particularly focused on international and graduate students); will oversee the employer relations inbox; and will create marketing materials. Career Services is an office at the nexus of Penn students, alumni, employers, and campus partners, and provides an engaging environment for an Administrative Coordinator to apply skills in effective communication, relationship building, and program and event management.

Requirements

  • High School Grad/GE Degree, and 5 to 7 years of experience or equivalent combination of education and experience is required
  • Success in this role requires a keen attention to detail, the ability to anticipate possible challenges, effective relationship-building skills, and the ability to optimize and streamline processes
  • Exceptional ability to calmly and professionally execute in a fast-paced environment with frequent interruptions
  • Excellent organizational skills including previous experience with small and large scale event planning
  • Ability to set and adjust priorities, adapt to different workstyles, learn new information quickly, and take initiative in problem solving
  • Work successfully both independently and as an integral member of multiple teams
  • Strong writing, proofreading and professional communication skills
  • Comfort with an environment where we try new approaches
  • Previous experience using Microsoft Office (Excel, Word, PowerPoint) necessary

Nice To Haves

  • Bachelor’s degree with 1-2 years of experience preferred
  • Design software such as Adobe Creative Suite or Canva strongly preferred
  • Interest in learning and adapting to new technologies including AI
  • Demonstrated cultural competencies and communication skills necessary to address a wide variety of questions from a varied and sophisticated audience including students, employers, and campus colleagues

Responsibilities

  • Provide logistical support for approximately two career fairs per year, as well as on-campus interview support as needed
  • Source and market opportunities particularly relevant to international and graduate student populations, especially those in target industries of particular interest to Penn students
  • Provide daily oversight of the employer relations inbox, responding directly to employers’ questions or forwarding to others in the office for follow-up
  • Provide coverage as needed for the main Career Services and recruiting reception areas and occasionally assist with staffing employer information sessions
  • Provide logistical support for undergraduate meetings such as semester planning meetings, annual undergrad retreat, monthly check-in meetings, and workshops
  • Create and develop marketing materials (emails, flyers, social media posts) and communication strategies for events and opportunities
  • Update and maintain portions of the Career Services website, including industry communities
