About The Position

The role of the Care Coordinator is to provide administrative support to individuals and/or families seeking care at Plymouth Psych Group. This includes greeting patients, verifying their information, scheduling appointments, answering phones, directing calls appropriately, maintaining confidential medical records, and collecting payments. The Care Coordinator acts as the liaison between patients, the back office, and clinical care staff, ensuring smooth operations and excellent patient experience.

Requirements

  • Must have compassion and understanding for all patients and believe that patient care is paramount.
  • Must have excellent customer service skills.
  • Understands the importance of maintaining confidentiality according to HIPPA standards.
  • Must be highly flexible and able to accommodate changing needs of the department.
  • Must have basic computer skills, including Word and Excel.
  • Must be proficient with medical terminology.
  • Must have the ability to multi-task, prioritize, and organize.
  • Must pay attention to detail while remaining focused in a busy environment.

Nice To Haves

  • High school diploma or equivalent applicable experience preferred.

Responsibilities

  • Greets all patients, verifies their personal and insurance information.
  • Assists patients or family members with completing pre-registration forms.
  • Looks up accounts for no-call, no-shows to leave messages for rescheduling.
  • Coordinates last-minute appointments and verifies scheduling.
  • Files orders, patient demographics, requests, and charts; shreds outdated information.
  • Informs patients of the costs of care.
  • Collects and posts payments according to protocols; prepares and balances daily financial registers and submits all forms and fees to the billing department.
  • Answers telephone, screens callers, relays messages, and routes calls to the appropriate department.
  • Makes necessary appointments in Practice Management, coordinating physician schedules.
  • Checks voicemail every 30 minutes to ensure all patient messages are attended to.
  • Confirms call-backs, reschedules, and no-show/late cancellation policy.
  • Assists with filing and any additional support needs.
  • Adheres to all applicable laws and regulations.
  • Maintains confidentiality within the workplace and community.
  • Demonstrates commitment and alignment to Plymouth Psych Group's mission, vision, and values.
  • Maintains a high degree of confidentiality, integrity, and professionalism.
  • Handles protected health information in a manner consistent with HIPAA.
  • Performs other related duties as required.
  • Regularly shows up to work on time according to the established schedule.
