  • 10+ years in a business management/operations role supporting technology or data-focused teams, ideally in financial services or consulting.
  • Deep experience managing multi-million-dollar budgets, forecasts, and financial analysis for engineering functions.
  • Demonstrated expertise in strategic planning—assessing business needs, aligning tech delivery, and optimizing resource deployment.
  • Advanced proficiency with budgeting/analytical tools (e.g., OneStream, Workday, Excel); experience with portfolio/project management tools (e.g., Daptiv, JIRA) is advantageous.
  • Strong communication, analytical, and organizational skills; comfortable operating in fast-paced, matrixed environments.

Nice To Haves

  • Experience using AI and having an AI focused mindset to solve day-to-day tasks is advantageous.

Responsibilities

  • Financial Planning & Performance Management
  • Own end-to-end budget and forecast cycles in OneStream, partnering with Strategic Finance to ensure accuracy, timeliness, and alignment with organizational priorities.
  • Lead annual budget construction — inclusive of Run and Build allocations — in close collaboration with the COO, team leads, and Function Head; ensure full upload and reconciliation in OneStream.
  • Drive monthly budget reviews, proactively identifying variances, recommending adjustments, and maintaining a dynamic, up-to-date financial picture.
  • Manage continuous updates to headcount, contracts, and resource costs throughout the fiscal year to reflect real-time organizational changes.
  • Maintain a comprehensive, authoritative roster of all team personnel including team and project assignments, billing rates, and status.
  • Own Daptive booking management; conduct monthly reviews with team leads to validate accuracy and alignment against approved budgets.
  • Champion data-driven financial culture by directing and enabling the team to pull, validate, and act on financial data independently.
  • Reporting & Strategic Insights
  • Develop and deliver regular, executive-ready reporting on budget performance, variances, resource utilization, and booking trends for team leads, the Function Head, and senior leadership.
  • Partner with the PMO to produce integrated reporting on program ROI, delivery progress, and risk areas — surfacing gaps and opportunities for continuous improvement.
  • Respond to ad hoc reporting requests from the Function Head and Eng COO with speed and precision, synthesizing complex data into clear, decision-ready outputs.
  • Resource Management & Onboarding
  • Lead the full lifecycle onboarding experience for all new personnel, ensuring a seamless, compliant, and well-coordinated process from offer acceptance to Day 1 readiness.
  • Oversee background checks, confidentiality agreements, and all pre-start compliance requirements.
  • Direct the team in executing onboarding workflows across VNDLY, Workday, and relevant support systems.
  • Own team-wide communications for all resource transitions — arrivals, departures, and role changes — ensuring stakeholders remain consistently informed.
  • Invoice & Financial Controls
  • Approve and manage invoices up to a threshold, ensuring accuracy, timeliness, and appropriate authorization controls.
  • Establish and maintain program coding standards for all invoices, reducing risk and improving financial traceability across the organization.
  • Vendor Lifecycle Management
  • Serve as the single point of accountability for all vendor onboarding engagements, driving progress from initiation through legal review and final approval.
  • Coordinate documentation and stakeholder engagement to facilitate efficient Legal and Compliance reviews.
  • Prepare and present materials for expense review and approval, ensuring thorough, well-organized submissions.
  • Maintain a living tracker of all vendor engagements — including renewals, expirations, and risk flags — providing leadership with proactive visibility into the vendor portfolio.
  • Team Leadership & Engagement
  • Lead, mentor, and grow a direct reporting team, fostering a culture of accountability, collaboration, and continuous development.
  • Design and facilitate All-Hands calls and team engagement forums that reinforce organizational alignment, celebrate wins, and drive transparency across the function.
