About The Position

Iona University, a highly accredited liberal arts institution, is seeking a Campus Visit Coordinator to join its diverse community. This role, in coordination with the Director of Undergraduate Admissions and Associate Director of Enrollment Management Communications and Event Planning, is responsible for planning and executing campus visit programs for prospective students and their families. The coordinator will serve as the primary point of contact for visitors, managing personalized visits, tours, and information sessions. The position involves working closely with various university departments to ensure a seamless and positive experience for prospective students and families throughout the admissions cycle, maintaining consistent routines and protocols for daily activities.

Requirements

  • Bachelor’s Degree required.
  • Willing and able to travel domestically.
  • Ability to work extended hours including nights, weekends, and some holidays.
  • Valid driver’s license required.
  • Goal-driven, detail-oriented team player.
  • Excellent communication, interpersonal, presentation, and organizational skills.
  • Self-starter with the ability to multi-task.
  • Proficiency in Microsoft Office Suite, Slate, and PeopleSoft.
  • 0-2 years of experience.

Nice To Haves

  • Previous experience in a university admissions office with an event management background preferred.
  • Bilingual (English/Spanish) a plus.

Responsibilities

  • Working with the Director of Undergraduate Admissions to build personalized visit agendas that fulfill visitors’ needs and comprehensively represent the Iona undergraduate experience.
  • Planning and implementing the details of admissions information sessions and campus tours.
  • Troubleshooting and resolving visit scheduling problems.
  • Providing excellent customer service to visiting families and university staff.
  • Overseeing the Gael Guide (Tour Guide) Program.
  • Serving as the primary customer service representative for incoming calls and emails to the general admissions inbox and phone line.
  • Working closely with the Sr. Director of Undergraduate Admissions, the Associate Director of Enrollment Management Communications and Event Planning, and the Director of Operations to develop a strong visit program.
  • Ensuring that the visit program has consistent routines and protocols surrounding daily activities.
  • Responding to visit inquiries, serving as the consistent point of contact throughout the pre-visit process, and securing time and travel commitment from visitors.
  • Successfully implementing the Daily and Weekend Visit experience by scheduling student staff and organizing space and needs.
  • Conducting daily information sessions for prospective students and visitors to the university.
  • Answering incoming phone calls and responding to incoming emails as the primary customer service representative for the admissions office.
  • Communicating with internal university constituents to arrange their participation in visit activities and resolve scheduling conflicts as they arise.
  • Ascertaining each visitor’s individual needs and interests to design an appropriate and appealing visit agenda.
  • Maintaining records and contact lists for prospective students, their families, and Iona faculty and staff involved in the visit process.
  • Following established guidelines for pre-planning and implementation of campus tours, information sessions, and individual events while also suggesting enhancements.
  • Overseeing a shadow program for Admitted Students.
  • Coordinating VIP tour requests for the President’s Office, as well as other departments across campus.
  • Collaborating with the Gael Guide Program.
  • Compiling data on daily visit programs throughout the year and providing weekly analysis reports.
  • Providing assistance to the Director of Admissions and/or Admissions Counseling staff with travel coverage and application review, as needed.
  • Additional responsibilities as assigned by the Director of Undergraduate Admissions.
