About The Position

Western Technical College is seeking individuals passionate about helping others learn, dedicated to serving students, and committed to the principles of equity and social justice. This position performs administrative and front-line office support activities for the campus to facilitate the efficient operation of the Regional Learning Center. Responsibilities include answering phones, directing walk-in traffic, and potentially resolving issues to ensure the department runs smoothly in the absence of the Campus Coordinator. The role emphasizes providing excellent customer service while maintaining FERPA and HIPAA regulations, and offering support and backup for other office personnel. This position may involve processing, verifying, and maintaining personal and confidential information, and will work both independently and with other RLC staff. The hours are variable and intermittent (less than 20 hours/week) based on the needs of the Regional Learning Center.

Responsibilities

  • Maintain and uphold the College values of Learning, Excellence, Accountability, Diversity, Student Success, Teamwork, Integrity, and Respect.
  • Perform office functions including responding to internal/external customers and staff.
  • Create and modify documents, records, and reports using College standard software.
  • Maintain hard copy and/or electronic filing systems.
  • Monitor inventory and budget information.
  • Schedule, coordinate, and prepare materials for meetings and/or appointments.
  • Complete all required College training and maintain necessary skills.
  • Provide support to students and faculty by preparing classroom materials, day-to-day computer and IDL support, textbook ordering, proctoring exams, processing IDs and parking permits.
  • Open and close building when needed.
  • Schedule appointments for students/inquiries with various student services personnel/confirm with students.
  • Collect and process payments and fees for students/inquiries/stakeholders.
  • Assist students and prospects with questions, class requirements, admissions, class schedules, registration, orientation, financial aid and other student service related matters.
  • Prepare course files, room schedules, run class rosters and contact students if cancellations occur.
  • Communicate with students, co-workers, and stakeholders by phone, email and in-person.
